About the Role

Ivan Franko Homes is seeking a highly skilled and experienced Executive Assistant to support the Chief Executive Officer (CEO) in their day-to-day operations. As a key member of the executive team, the successful candidate will be responsible for managing the CEO's calendar, coordinating travel arrangements, and ensuring the efficient use of their time.

Key Responsibilities
  • Calendar Management: Manage the CEO's calendar, ensuring all deadlines and commitments are met.
  • Travel Coordination: Arrange travel itineraries, book flights and accommodations, and make necessary travel arrangements.
  • Administrative Support: Provide administrative support to the CEO, including preparing documents, reports, and presentations.
  • Communication: Serve as the primary point of contact for all executive office matters, handling phone calls, emails, and visitors with discretion and tact.
  • Event Planning: Plan and coordinate meetings, events, and business luncheons, ensuring seamless execution and minimal downtime.
  • Research and Data Analysis: Conduct research and analyze data to assist with the preparation of documents and presentations.
  • File Management: Maintain and organize paper and electronic files, records, and correspondence.
  • Communication Lists: Assist with the development and maintenance of external communications and communication lists.
Qualifications
  • Experience: Two (2) years of experience as an Executive Assistant or in a similar role.
  • Education: Post-secondary degree required.
  • Skills: Superior organizational and interpersonal skills, excellent attention to detail, and ability to work independently and as part of a team.
