We are looking for a highly organized and proactive Executive Assistant to provide support to two members of our Executive Leadership Team. You will serve as the primary point of contact for these Executives, delivering essential administrative support to ensure their focus and efficiency. Furthermore, you will manage various team-specific and office-related responsibilities in partnership with the Executive Assistant Team. This is a full-time contract role.
Key Responsibilities:
- Calendar Management: Organize complex schedules, arrange meetings, and proactively resolve conflicts.
- Business Prioritization: Grasp Executives' priorities to optimize their time effectively.
- Information Management: Keep Executives and their teams updated on upcoming commitments and responsibilities.
- Financial Assistance: Manage receipts, prepare expense reports, stay informed on relevant budgets, and reconcile financial documents.
- Travel Coordination: Organize travel arrangements for Executives.
- Meeting Coordination: Support regular team meetings by managing agendas, liaising with facilitators, creating presentations, and taking notes.
- Event Planning: Organize and execute team events, Hackathons, and off-site gatherings, both virtual and in-person.
- Team Collaboration: Facilitate monthly in-office lunches and oversee company-wide events with the Executive Assistant team.
- Strategic Goals: Identify and accomplish cross-functional strategic objectives with the Executive Assistant team.
- Process Improvement: Recognize operational inefficiencies and enhance or develop new processes.
- Administrative Support: Address inquiries and confidential tasks promptly and efficiently. Provide personal administrative assistance to executives as required.
- Coverage and Support: Offer backup support for other Executive Assistants during their absences.
- Executive Initiatives: Assist with Executive initiatives, including organization-wide town halls, presentation decks, proposals, and special project support.
Qualifications:
- 3+ years of experience in an Executive Assistant role within a fast-paced environment.
- Exceptional time management and organizational abilities.
- Strong capacity to work independently and execute tasks in an agile manner.
- Commitment to effectively support others and achieve team and organizational goals.
- Flexibility and adaptability to engage with innovative technologies, such as Google Workspace, Zoom, Slack, and more.
- Advanced proficiency in Google Workspace and Slack is a significant advantage.
