Position Overview: The Accounting & Payroll Supervisor plays a crucial role in our financial operations, reporting directly to the Accounting Manager. This position is integral to the accounting team, delivering essential financial support in areas such as accounts payable, payroll management, forecasting, and program oversight.
Key Responsibilities:
- Oversee the precise and timely execution of bi-weekly payroll cycles.
- Input payroll data daily into the designated software, ensuring accuracy and addressing discrepancies as they arise.
- Establish and maintain audit and internal control measures for payroll processing.
- Analyze internal reports and payroll provider submissions for accuracy and compliance.
- Investigate payroll discrepancies and documentation to ensure adherence to established procedures.
- Collaborate with payroll providers to ensure compliance with applicable laws and regulations.
- Engage with various internal and external stakeholders to facilitate accurate payroll deductions.
- Assist with WSIB compliance and ensure payroll records are accurately maintained.
- Organize and maintain payroll information, files, and records in both electronic and paper formats.
- Conduct reconciliations to verify the accuracy of earnings and deductions.
- Prepare journal entries for payroll and related accruals.
- Ensure payroll practices comply with Collective Bargaining Agreements.
- Generate periodic and ad hoc reports as needed.
- Process purchase orders using internal accounting systems.
- Prepare accounts payable invoices for management approval.
- Perform monthly vendor statement reconciliations.
- Review and process employee expense claims.
- Manage petty cash reimbursements.
- Reconcile manual cheque transactions.
- Update and maintain vendor and supplier records.
- Prepare financial projections for management review.
- Support compliance with all relevant laws, regulations, and internal policies.
- Identify opportunities for cost savings through process improvements.
- Collaborate with staff and management to assess system performance through business reporting.
- Assist in developing standard operating procedures to ensure consistency and compliance.
- Participate in the recruitment, training, and supervision of team members.
- Provide clear communication and support to help staff achieve their objectives.
- Monitor attendance and address absenteeism issues as necessary.
- Handle human resource matters in accordance with company policies.
- Represent the company in grievance procedures.
- Maintain professionalism and confidentiality regarding sensitive information.
- Assist with inventory cycle counts as needed.
- Support other departments with various tasks and special projects.
- Ensure a safe working environment and adhere to safety protocols.
- Demonstrate consistent attendance and punctuality.
- Perform additional duties as assigned.
Working Environment: The Accounting & Payroll Supervisor operates primarily in an office setting, with occasional after-hours responsibilities as required. The role involves various physical activities, including sitting, standing, and using office equipment.
Qualifications:
- A degree or three-year college diploma in Accounting, Bookkeeping, Payroll Administration, or a related field.
- Preferred progress towards an Accounting or Payroll designation.
- Three years of experience in progressively responsible accounting roles.
- Minimum of three years of payroll processing experience in both unionized and non-unionized settings.
- Experience supervising in a unionized environment is preferred.
- Strong customer service and communication skills.
- Ability to pass a Criminal Background Check.
Knowledge, Skills, & Abilities:
- Familiarity with ADP year-end processing.
- Understanding of GAAP and IFRS principles.
- Knowledge of the Employment Standards Act as it relates to payroll.
- Proficient in Microsoft Office, particularly Excel, with advanced skills in data analysis.
- Strong organizational skills and the ability to manage multiple projects effectively.
- Excellent problem-solving abilities and attention to detail.
- Ability to work independently and collaboratively across departments.
