Role Summary: We are looking for a diligent and detail-focused professional to take on the role of Broker Compensation and Licensing Coordinator. This position is essential for the precise calculation and management of our Broker Compensation processes. The successful candidate will handle various payroll-related responsibilities, including processing driver compensation, onboarding new hires, and generating payroll reports. This role requires maintaining confidentiality while effectively collaborating with team members in a dynamic, multitasking environment. Additionally, the position involves overseeing vehicle licensing obligations and ensuring accurate broker settlement processes, fostering strong relationships with internal departments to guarantee compliance and accuracy in compensation and licensing.

Key Responsibilities:

Broker Compensation Management:

Prepare semi-monthly compensation packages for brokers. Settle and document earnings based on mileage, percentages, and flat rates. Process necessary deductions accurately. Collaborate closely with Fleet & Maintenance and Safety & Compliance teams to ensure all billable work orders are processed correctly. Ensure all vendor invoices related to broker charges are accurately captured and paid. Address broker inquiries regarding payment processes. Manage loan repayment processes for brokers.

Driver Compensation Administration:

Assist in calculating driver compensation through trip report processing. Support the management of driver trip reports to determine earnings. Help prepare bi-weekly payrolls efficiently.

Fleet Licensing Management:

Oversee the processing and management of licensing for the national fleet. Maintain comprehensive equipment ownership records. Manage vehicle permits and toll transponders effectively. Ensure all documentation for broker-owned equipment is maintained.

Process Improvement Initiatives:

Identify and implement opportunities for enhancing processes in licensing, settlement, and brokerage operations. Establish best practices to improve efficiency and minimize errors in licensing and settlement tasks.

Documentation and Compliance:

Maintain organized records related to licensing, settlements, and compliance. Ensure all documentation adheres to regulatory standards and is readily accessible for audits.

Ideal Candidate Profile:

Strong attention to detail with a passion for data management. Ability to thrive in a fast-paced, multi-tasking environment. Excellent interpersonal and communication skills. Proficient in Microsoft Excel, Word, and Outlook, with a willingness to learn transportation management software. Previous experience in the transportation industry is advantageous. Background in office administration with payroll experience is a plus.

Qualifications:

Proven experience in Broker Compensation, Licensing, or a related role within the transportation sector. Comprehensive understanding of vehicle licensing requirements. Familiarity with Broker Compensation processes. Strong analytical and problem-solving capabilities. Detail-oriented with a commitment to accuracy and compliance.
