Job Overview

As a key member of our finance team at Qualico Canada, the Credit Assistant and AP Administrator will play a vital role in the management of our company's financial operations. Reporting to the Accountant, this position will assist with the management of the company's finance and accounting departments, with separate and distinct duties associated with each of the positions.

ResponsibilitiesAccounts Receivable
  • Utilize established procedures and enforce policies for credits and payment collections.
  • Prepare, review, and analyze accounts receivable aging reports to ensure timely payment from customers.
  • Process payments made via credit cards and create new credit and cash accounts in the system.
  • Monitor receipt and record of cheque payments to ensure accuracy and completeness.
  • Maintain complete and accurate account information in the database and on file.
  • Conduct account reviews and correspond with customers regarding changes in their status.
  • Send customer statements and follow up on inquiries as required.
  • Monitor and expedite payments from customers to ensure payments are fully received.
  • Follow up with collection of delinquent accounts.
Accounts Payable
  • Review, code, and enter invoices or expenditures for payment, ensuring correct approvals are obtained and resolving discrepancies as required.
  • Understand and schedule payments to ensure compliance with prompt payment legislation and/or vendor discount terms.
  • Prepare cheque runs and reconcile vendor accounts and credit card statements.
  • Respond to vendor inquiries and coordinate with vendors regarding invoices, payments, and discrepancies.
  • Provide support to other accounting and administrative-related duties as required.
Requirements
  • High school diploma or equivalent.
  • Accounting certificate/diploma is preferred.
  • Minimum 2 years of accounting experience.
  • Satisfactory verification of criminal record check.
  • Proficient in Microsoft Office Programs (Outlook, Word, Excel, Teams, SharePoint, and PowerPoint) and accounting programs (Bistrack and Great Plains or similar).

Work Conditions

This role primarily works in an office setting during regular business hours. Overtime may occasionally be required.
