This role is pivotal in supporting the Property Management Team with the daily administration and operations of a diverse suburban portfolio. The ideal candidate will cultivate and sustain relationships with clients, tenants, and service providers to ensure compliance with building standards and optimal service delivery.

KEY RESPONSIBILITIES

Facilitate effective communication within the Property Management & Operations team while providing essential administrative support. Collaborate with internal teams, tenants, and external vendors to uphold building standards and ensure peak service performance. Manage preliminary monthly rent roll reports and communicate ongoing rental billing modifications to tenants. Prepare vacancy notifications and manage arrears reporting. Generate year-end final billing and tenant charge-back invoices for miscellaneous expenses. Process rental payments, including deposits to the appropriate banks and recording cash receipts in Yardi. Assist the Manager with rent collection, providing both verbal and written communication to tenants. Compile tenant receivable monthly reports for the Senior Property Manager. Handle real estate accounts payable invoices, including administering invoice holdbacks, matching invoices to approved purchase orders, and addressing various invoice payment inquiries. Administer and reconcile utility billings and applicable prorated chargebacks to tenants as per lease agreements. Support the Senior Property Manager in preparing budgets and quarterly reports related to operating expenses, receivables, and capital expenditures. Aid the Senior Property Manager by monitoring deadlines and commitments, ensuring proactive follow-up. Address tenant requests and escalate complex issues to the appropriate resources for resolution.

QUALIFICATIONS & ATTRIBUTES

A post-secondary degree in Accounting, Finance, or Business Administration is preferred. A minimum of two (2) years of relevant experience in Commercial Property Management. Background in accounting or finance, particularly within the commercial real estate sector. Familiarity with Yardi Voyager and Yardi Payscan is advantageous. Proficient in Microsoft Office applications. Solid understanding of fundamental accounting principles. Proactive in identifying potential challenges and implementing preventive measures. Collaborative problem-solving skills and the ability to build relationships across all organizational levels. Exceptional written and verbal communication skills, capable of effectively interacting with clients, tenants, team members, and service providers. A client-focused mindset, emphasizing client service and the ability to foster trust. Outstanding organizational skills to manage multiple properties, teams, and projects concurrently. A meticulous eye for detail, ensuring operational and financial aspects of properties are managed with precision. Adaptability to changing market conditions, tenant requirements, and unforeseen challenges. A commitment to nurturing an inclusive and positive workplace culture.
