Position Overview: If you are enthusiastic about contributing to a collaborative environment that values analytical thinking and informed decision-making, we invite you to consider this role at Perth County Archives. The Archival Assistant operates under the supervision of the Archives Manager and works closely with fellow assistants and staff across multiple municipalities. This position is pivotal in managing collections, facilitating cataloguing and digitization efforts, providing reference and research services, and engaging in community outreach.

Key Responsibilities:

  1. Assist the Archives Manager and leadership team by offering insights and recommendations for developing policies and strategies that enhance information and knowledge management across several municipalities.
  2. Propose operational policies and procedures for all archival functions.
  3. Develop and execute plans for cataloguing, digitization, collections management, reference services, and public engagement as part of annual objectives.
  4. Uphold the integrity and authenticity of archival collections.
  5. Ensure all records are preserved, catalogued, and readily accessible as needed.
  6. Conduct ongoing maintenance and annual reviews of the Archives Disaster Prevention and Response Plan.
  7. Deliver exceptional customer service through research and reference assistance to the public and municipal personnel.
  8. Prepare monthly reports for the Archives Manager.
  9. Attend relevant council and committee meetings to present updates on archival operations.
  10. Execute conservation treatments on archival materials.
  11. Maintain both paper and electronic records in compliance with relevant legislation and retention schedules, demonstrating proficiency with electronic document management systems.
  12. Participate in the annual assessment of collection conditions and the upkeep of the collections area.
  13. Conduct audits to identify and address any deterioration issues promptly.
  14. Organize donor recognition events.
  15. Engage in public outreach through the creation of digital content, articles, and displays that showcase archival holdings.
  16. Public outreach may involve speaking engagements and collaboration with partner organizations to coordinate community events.
  17. Keep an inventory of books available for sale.
  18. Reconcile cash receipts from the Reading Room and generate weekly financial reports.
  19. Collect mail from designated locations.
  20. Comply with the Occupational Health and Safety Act and adhere to organizational policies and procedures.

Qualifications:

  1. A minimum of a 2-year college diploma in Archives or Library Technician Program.
  2. Preference will be given to candidates with an undergraduate degree in a related field and a graduate degree in Information Studies.
  3. 1-3 years of relevant experience with archival collections.
  4. Comprehensive understanding of current professional standards and practices for archivists, with the ability to apply them effectively.
  5. Strong confidentiality skills and familiarity with applicable legislation.
  6. Excellent reference and negotiation skills for client service and donor relations.
  7. Ability to prioritize tasks, meet deadlines, and maintain attention to detail in a dynamic work environment.
  8. Proficiency in various software applications, including Microsoft Office Suite and electronic records management systems.
  9. Current knowledge of best practices for document scanning and standards for file management.
  10. Capability to produce accessible and engaging content for various platforms.

Work Schedule: Monday to Friday, with occasional evening and weekend commitments as necessary.
