Position Overview

The Events Operations Supervisor is responsible for overseeing the planning and execution of various events, ensuring that all aspects are managed effectively and efficiently.

Key Responsibilities

  • Lead and mentor a team of Events Coordinators, providing guidance and support.
  • Monitor project timelines and deliverables, ensuring that all staff meet established objectives.
  • Assess event requirements, develop comprehensive project plans, and engage with cross-functional teams and stakeholders.
  • Coordinate logistics for assigned events, including on-site management and overseeing setup and teardown activities.
  • Create and maintain detailed project schedules to track progress.
  • Prepare financial reports, including profit and loss statements, and analyze financial data related to events.
  • Assist in negotiating venue contracts to secure favorable terms for the organization.
  • Oversee the preparation of correspondence, spreadsheets, and presentation materials.
  • Collaborate with various departments to create promotional materials and provide technical support.
  • Manage the production of marketing materials such as brochures, signage, and invitations.
  • Visit event locations before, during, and after events to ensure smooth operations and build relationships.
  • Serve as a resource for inquiries related to events, both internally and externally.
  • Research potential suppliers and venues, obtaining quotes for services and products.
  • Identify potential issues proactively and suggest effective solutions.
  • Address sensitive situations as they arise with professionalism.

Candidate Profile

  • Proven project management expertise and a solid understanding of event marketing.
  • Experience with project management methodologies and a successful track record in dynamic environments.
  • Strong leadership abilities to motivate and direct diverse teams.
  • Excellent communication and interpersonal skills, demonstrating professionalism and discretion.
  • Strong analytical and problem-solving capabilities, with adept negotiation skills.
  • Exceptional organizational skills and the ability to manage multiple priorities in a fast-paced setting.
  • Familiarity with the hospitality industry and a robust network of suppliers is advantageous.
  • Product knowledge is a plus.
  • Willingness to travel as needed.
  • Proficient in Microsoft Office Suite and Adobe Acrobat.
  • A degree in business administration or a related field, or equivalent experience.
