The Inventory Analyst/Buyer plays a critical role in developing and implementing stock control systems and procedures within a computerized environment. This position is responsible for establishing and/or revising reorder points and quantities, purchasing inventory equipment and supplies, conducting inventory audits, and maintaining an inventory catalogue system.
Key Responsibilities- Develop and Implement Stock Control Systems: Utilize a computerized information system to control and provide information regarding inventory content and levels.
- Establish Reorder Points and Quantities: Review usage, availability, cost, and storage requirements to ensure optimum inventory levels are maintained.
- Purchase Inventory Equipment and Supplies: Select suppliers, negotiate price and delivery dates, and prepare and approve purchase orders.
- Audit Inventory Levels: Conduct regular and spot physical checks and compare actual to recorded inventory levels; investigate discrepancies and resolve or refer problems to Supervisor.
- Follow-up Activities: Monitor delivery dates, resolve shipping problems, review credit notes, investigate order discrepancies, make price adjustments, and expedite late deliveries.
- Maintain Sources of Supply: Contact suppliers and representatives to maintain sources of supply; interview supplier's representatives and evaluate and provide information on supplier performance as required.
- Control Inventory Content and Levels: Review and analyze stock/non-stock usage reports and stock status reports; confer with user departments regarding inventory requirements.
- Prepare Records and Reports: Gather background statistical information for use in the preparation of tenders.
- Answer Inquiries: Answer inquiries on outstanding purchase orders and related requests for information; follow up on requests as required.
- Maintain Inventory Catalogue System: Prepare descriptions of items and assign stock numbers.
- Ensure Inventory Supplies are Labeled and Organized: Remove obsolete and add new items.
The ideal candidate will possess a Grade twelve (12) education, supplemented by recognized purchasing courses, and five (5) years' recent related experience or an equivalent combination of education, training, and experience. Additionally, the candidate should possess excellent communication and organizational skills, as well as the ability to operate related equipment and perform physical duties associated with the position.
