About our Unit:
3West is a specialized unit focusing on rehabilitation, comprising a skilled team of healthcare professionals committed to delivering patient-centered care. Our approach emphasizes goal-oriented therapy, guiding patients towards independence and reintegration into their communities.
KEY RESPONSIBILITIES:
Patient Administrative Services
- Manage and coordinate patient information, ensuring effective communication for optimal patient care.
- Update patient demographics and maintain accurate records.
- Address patient and family inquiries, escalating concerns as necessary.
- Collaborate with internal departments and external partners to manage appointments and patient transfers.
- Notify relevant personnel regarding patient movements and test results.
- Respond to patient inquiries and assist with their needs.
- Prepare documentation for patient discharge.
Information Management
- Ensure accurate patient charts are maintained and sent to Health Records.
- Update necessary information sheets and binders.
- Conduct audits as required.
Reception and Patient Engagement
- Welcome visitors and patients, directing them appropriately.
- Confirm patient information during admission processes.
- Explain hospital policies and procedures to stakeholders.
- Handle telephone inquiries and direct calls as needed.
Clerical Administration
- Maintain office supplies and inventory.
- Process financial transactions related to unit operations.
- Participate in unit meetings and contribute to operational efficiency.
- Manage incoming correspondence and messages.
Scheduling and Payroll Support
- Assist in scheduling and timekeeping processes.
- Liaise with scheduling clerks to ensure staffing alignment.
Epic-Specific Responsibilities
- Update patient information in the Epic system.
- Coordinate follow-up care appointments.
- Support staff in utilizing Epic functionalities.
QUALIFICATIONS
Educational Qualifications
- High school diploma or equivalent; additional education in healthcare administration is advantageous.
- Familiarity with medical terminology is preferred.
Professional Experience
- 1-2 years of experience in an administrative role, preferably in a healthcare setting.
- Customer service experience is desirable.
Skills and Competencies
- Proficient in computer applications and familiar with Epic.
- Strong organizational and communication skills.
- Detail-oriented with accuracy in data management.
- Ability to adapt to changing priorities in a dynamic environment.
