Physical Requirements/Skills

This position involves various physical activities such as sitting, standing, bending, kneeling, and lifting or moving items weighing up to 35 lbs. Candidates should be prepared to navigate stairs and remain active throughout a 7-hour workday.

Key Responsibilities

  1. Foster a welcoming and friendly atmosphere for all visitors.
  2. Welcome guests, respond to inquiries, provide directions, and assist visitors and staff as necessary.
  3. Support the Education Department by welcoming and assisting school tours.
  4. Handle incoming calls and respond to messages in a timely manner, directing inquiries as needed.
  5. Maintain an inventory of promotional materials such as flyers and brochures.
  6. Process transactions and adhere to daily opening and closing protocols using CRM software.
  7. Ensure building security by following procedures for opening and closing.
  8. Collaborate with programming and administrative teams on guest service matters.
  9. Record visitor attendance, feedback, inquiries, and suggestions.
  10. Assist the hospitality team during special events as required.
  11. Report any equipment or facility issues to the Operations Team.

Additional Duties

  1. Perform other assigned tasks as needed.
  2. Commit to the Gallery's principles of Equity, Diversity, and Inclusion.
  3. Contribute to the Gallery's goals and actively engage in its community.
  4. Interact respectfully and accountably with staff, volunteers, and the public.
  5. Exhibit a positive demeanor that inspires confidence within the Gallery.

Qualifications

  1. Service-oriented individual with a strong commitment to guest satisfaction.
  2. Ability to work effectively both independently and as part of a team.
  3. Proficient in accurately setting up spaces for meetings and events.
  4. Availability to work during days, nights, and weekends.
  5. Experience in hospitality or event-related roles is preferred.

Skills

  1. Excellent communication, public relations, and problem-solving abilities.
  2. Proficient in Microsoft Office and various CRM software, with familiarity in office equipment.
  3. Current basic First Aid and CPR certification is preferred, or willingness to obtain.
  4. Experience in custodial tasks or light cleaning is required.
  5. Familiarity with Point-of-Sale systems is an asset.
  6. Catering experience and/or Smart Serve certification is also beneficial.

Experience

  1. At least 1 year of experience in a hospitality or venue environment or relevant training.
  2. Comfortable with computer systems.
  3. Prior experience in a customer service capacity.

Work Environment

  1. Work is conducted in a gallery setting with a moderate noise level.
  2. Engage actively in the Gallery's objectives and community life.
  3. Maintain respectful and accountable interactions with colleagues and the public.
  4. Demonstrate a positive presence that encourages confidence within the Gallery.
  5. Assist visitors with inquiries and provide information about exhibitions as needed.
  6. Follow security protocols for building access and closure.
  7. Respond promptly to phone calls and messages, directing inquiries as necessary.
  8. Document visitor interactions, feedback, and suggestions.
