Job Overview:

The Project Coordinator plays a pivotal role in supporting the Project Management team through meticulous involvement in departmental schedules, financial oversight, documentation management, process enhancement, and general project administrative tasks.

Please note, this position requires flexibility for client site assignments with rotational shifts.

Key Responsibilities

The responsibilities associated with this position encompass, but are not limited to:

  • Performing general administrative tasks such as meeting preparation, document filing/scanning, travel arrangements, and expense management.
  • Preparing and organizing documents for distribution, including project plans and training manuals.
  • Assisting in the creation and dissemination of weekly, monthly, and quarterly project reports.
  • Ensuring accurate data entry into computerized systems with a strong emphasis on precision and timeliness.
  • Providing administrative support related to the management of estimates, funding requests, change orders, schedules, forecasting, and project closure.
  • Setting up projects for invoicing purposes.
  • Compiling invoice summaries for accounting departments.
  • Coordinating the receipt, processing, and accuracy of all invoices and purchase orders.
  • Ensuring timely and accurate capture of field paperwork.
  • Managing the flow of field documentation, ensuring necessary approvals are secured and forwarded to the appropriate parties.
  • Executing general clerical duties, including photocopying, faxing, mailing, and filing.
  • Undertaking related tasks and projects as required.

Required Qualifications/Competencies

The ideal candidate will possess:

  • The ability to interpret and comprehend contracts, drawings, and specifications.
  • A post-secondary education in Engineering is considered an asset.
  • Engineering (Eng), Engineer-in-Training (EIT), or Certified Engineering Technologist (CET) credentials are advantageous.
  • Proficiency in computer applications, particularly MS Office and MS Project.
  • Experience within the Construction sector is highly regarded.
  • Skills in project and scope planning, implementation, data organization, and report generation.
  • Exceptional communication, organizational, and interpersonal abilities.
  • A detail-oriented mindset, with a collaborative spirit and the ability to work under strict deadlines.
  • A strong work ethic and a willingness to learn.
  • A valid Class 5 driver's license.
