An exciting opportunity has emerged for the role of Facility Assistant, reporting directly to the Site Manager. This role entails providing a professional, adaptable, and customer-oriented support function within the organization, encompassing administration, logistics, compliance, and QHSE activities for both the office and workshop.
Key Responsibilities:- Assist with all HSE functions, including conducting monthly inspections of the workshop and office.
- Engage in HSE committee meetings.
- Support all aspects related to equipment and tooling conformity within the workshop.
- Timely reporting of all facility management and maintenance invoices.
- Manage day-to-day administration of essential business support functions.
- Prepare, maintain, and complete vendor documentation.
- Review and seek approval for supplier invoices within specified timelines.
- Provide assistance to site and workshop managers in business support and site management areas.
- Oversee and assist with administrative tasks in the office, ensuring smooth operations.
- Receive, sort, and manage incoming mail and deliveries, as well as outgoing mail.
- Perform and support shipping and receiving duties for both the office and workshop.
- Engage in other projects and assignments as directed by the Manager or Team Lead.
- Familiarity with Canadian and Provincial HSE requirements and regulations is an asset.
- Experience in customer service or administrative support is considered beneficial.
- Knowledge of KM Worldwide organizations, products, deliveries, and customers is a plus.
- Demonstrated commitment and reliability.
- Experience with Microsoft Dynamics or other Windows-based ERP systems is advantageous.
- Proficient in operating a PC and utilizing Microsoft Office.
- Ability to manage time effectively and meet deadlines with minimal supervision.
- Strong written and verbal communication skills in English.
- Self-sufficient and proactive.
- Positive attitude and ability to collaborate effectively with others.
- Knowledge of KM Worldwide organizations, products, deliveries, and customers is a plus.
- Experience in the maritime sector is advantageous.
- Demonstrated commitment and reliability.
- Familiarity with Microsoft D365.
