About the Role

We are seeking a highly organized and detail-oriented Event Coordinator to join our team at Canadian Hadassah-WIZO. As a key member of our events team, you will be responsible for providing administrative support for our largest annual event, At Our Table in Toronto.

Key Responsibilities
  • Provide administrative support to the event committee, including meeting scheduling, minutes, and action reporting.
  • Coordinate vendor relationships, gift-in-kind donations, and logistics for the event.
  • Manage sponsorships and individual donations, ensuring timely follow-up and communication with donors.
  • Support the Director of Events and Corporate Sponsorship with event budgeting, workback schedules, and payment processing.
  • Assist with preparing thank-you acknowledgement letters for sponsors, donors, and participants.
  • Administer the RE database, inputting event-related information, extracting data, and generating mailing lists as required.
  • Develop and send emails for approval by the committee and execute.
  • Participate in key committee meetings and work closely with Marcom, Finance, and Donor Relations teams.
Requirements
  • College or university degree and/or post-graduate event management certification or equivalent combination of education and work experience in a related field.
  • Demonstrated experience working with volunteers and committees in the not-for-profit sector.
  • Two to three years of success in special event planning and execution, preferably in a similar role.
  • Excellent organizational, interpersonal, project management, and communication skills, with a high level of diplomacy and sophistication.
  • Experience with Raiser's Edge, Luminate Online, Microsoft 365, G-suite, Mail Chimp, Canva, or ability to learn software programs.
  • Strong problem-solving skills, ability to juggle competing priorities, and meet deadlines in a fast-paced environment.
