Role Summary: We are looking for a detail-oriented and driven individual to fill the position of Broker Compensation and Licensing Coordinator. This role is essential for the precise calculation and management of broker compensation and licensing processes. The successful candidate will handle various payroll-related tasks, including the processing of driver payroll, onboarding new brokers, and generating payroll reports. The position requires maintaining confidentiality while effectively collaborating with internal teams to ensure accuracy in compensation and licensing.

Key Responsibilities:

Broker Compensation Management:

  • Prepare and distribute semi-monthly compensation packages for brokers.
  • Calculate and reconcile earnings based on miles, percentages, and flat rates.
  • Process necessary deductions accurately.
  • Collaborate with Fleet & Maintenance and Safety & Compliance teams to ensure proper processing of billable work orders.
  • Ensure timely payment and allocation of all vendor invoices related to broker services.
  • Address inquiries from brokers regarding payment processes.
  • Oversee the loan repayment procedures for brokers.

Driver Payroll Administration:

  • Assist in calculating driver payroll through the processing of trip reports.
  • Support the management of driver trip reports to determine earnings.
  • Aid in the preparation of bi-weekly payrolls.

Fleet Licensing Oversight:

  • Manage the licensing processes for the national fleet of tractors and trailers.
  • Maintain all equipment ownership documentation.
  • Oversee vehicle permits and toll transponders.
  • Ensure compliance with documentation for broker-owned equipment.

Process Improvement Initiatives:

  • Identify and implement opportunities for enhancing efficiency in licensing and settlement operations.
  • Establish best practices to minimize errors in processes.

Documentation and Compliance:

  • Maintain organized records related to licensing, settlements, and compliance.
  • Ensure all documentation adheres to regulatory standards and is readily accessible for audits.

Ideal Candidate Profile:

  • Strong attention to detail with a passion for data management.
  • Ability to thrive in a fast-paced, multi-tasking environment.
  • Excellent interpersonal and communication skills.
  • Proficient in Microsoft Excel, Word, and Outlook, with a willingness to learn new software.
  • Previous experience in the transportation industry is advantageous.
  • Background in payroll processing is considered a plus.

Qualifications:

  • Proven experience in broker settlement, licensing, or a related role within the commercial transportation sector.
  • Comprehensive understanding of vehicle licensing requirements.
  • Familiarity with broker settlement processes.
  • Strong analytical and problem-solving capabilities.
