Compensation: At Wawanesa, we believe that compensation is just one aspect of a comprehensive and competitive package we offer our employees. In addition to base salary, both full-time and part-time permanent employees are eligible for an annual bonus plan, leave of absence top-up programs, and generous vacation time, personal days, premium-free benefits, and a pension plan. The salary for this position is determined based on various factors, including but not limited to: your work location, local labor market conditions, external market salary data, internal pay equity, and the knowledge, skills, experience, and anticipated proficiency in the role. Key Responsibilities

  • Manage the calendar of the Vice President by effectively scheduling and prioritizing meetings, addressing potential conflicts, and monitoring upcoming deadlines.
  • Prepare and compile documents, presentations, reports, and correspondence for various audiences, including internal and external stakeholders.
  • Coordinate meetings by preparing agendas, compiling and distributing documents in advance, inviting internal/external guests, arranging catering, and sourcing meeting locations and AV equipment.
  • Maintain guidelines, reports, and documents within a records management library.
  • Record, transcribe, and distribute minutes of meetings, ensuring follow-up on any action items.
  • Organize and prepare departmental invoices for payment.
  • Assist with travel and conference arrangements as needed.
  • Perform other office functions such as maintaining office supplies, ordering business cards, generating reports, and receiving deliveries.
  • Provide additional coordination and administrative support on large projects as requested.
  • Carry out other duties as assigned.
Qualifications
  • 3-5 years of experience in a senior executive support role.
  • Related post-secondary education is strongly preferred.
  • Strong general computer skills with basic IT troubleshooting abilities.
  • Proficient in MS Office applications, including Word, Excel, and PowerPoint.
  • Ability to maintain a high level of discretion when handling confidential information.
  • Excellent verbal and written communication skills with a demonstrated ability to interact with all levels of internal and external stakeholders.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Capability to manage multiple projects, tasks, and assignments simultaneously, reprioritizing as necessary.
  • Attention to detail and a commitment to accuracy and completeness in work.
  • Familiarity with the Property & Casualty insurance industry is considered an asset.
  • Experience in Finance or a deadline-driven industry is preferred.
