Role Summary
Reporting to the Supervisor – Payroll, the Payroll & Benefits Coordinator plays a vital role in the payroll processing cycle and assists with various payroll and benefits-related tasks.
Key Responsibilities
- Oversees all payroll functions during vacation relief and as needed; maintains current knowledge of all payroll processes.
- Examines employee payroll entries for accuracy and completeness.
- Reconciles payments to the General Ledger and submits payments to the Finance department.
- Handles the processing of the pension plan by completing and submitting all necessary forms to OMERS, including enrollments, waivers, terminations, and leaves. Conducts year-end reconciliations.
- Offers guidance and information to employees approaching retirement regarding leave calculations and benefits.
- Processes personnel changes in the payroll system, such as increments, reclassifications, and promotions; ensures the accuracy of documents before filing in employee personnel records.
- Participates in onboarding sessions and provides training on the payroll system.
- Manages employee benefits, including registrations, terminations, and changes in employee status and rates; reconciles monthly payments.
- Acts as the primary contact for all employee benefit inquiries and resolves discrepancies with the insurance provider.
- Maintains reports on part-time hours and regularly communicates results to relevant managers.
- Updates seniority and employee progression records.
- Generates reports, including Crystal reports as requested by divisions or directed by the Supervisor – Payroll.
- Responds to general inquiries from management or employees regarding leave balances, attendance, and payroll matters.
- Possesses knowledge of employment policies, procedures, processes, and collective agreements.
- Delivers quarterly and annual attendance reports to leadership, as well as on an ad-hoc basis.
- Maintains up-to-date knowledge of and adheres to all legislation and Tbaytel policies relevant to the role and responsibilities.
- Provides support to the Human Resources Team as needed.
- Performs additional duties as assigned.
Minimum Qualifications
- Degree or diploma in Business Administration, Finance, or a related field.
- Two years of experience in performing comprehensive payroll activities, including familiarity with payroll and HRIS systems.
- Exceptional problem-solving abilities with a strong attention to detail and effective time-management and multitasking skills.
- Proven accuracy in data entry tasks.
- Strong interpersonal skills with a demonstrated capacity to work effectively as part of a team.
- Professional and courteous verbal and written communication skills, with the ability to engage effectively with customers.
- Proficient in various computer software applications, including email, MS Office (Excel, Word, PowerPoint), and Google Drive (Sheets, Docs, Slides), with the ability to learn new software as necessary.
Preferred Qualifications
- Experience with the VISTA payroll system.
- Payroll Compliance Practitioner (PCP) certification.

- Must successfully complete a satisfactory criminal records check.
