Role Summary

Reporting to the Supervisor – Payroll, the Payroll & Benefits Coordinator plays a vital role in the payroll processing cycle and assists with various payroll and benefits-related tasks.

Key Responsibilities

  1. Oversees all payroll functions during vacation relief and as needed; maintains current knowledge of all payroll processes.
  2. Examines employee payroll entries for accuracy and completeness.
  3. Reconciles payments to the General Ledger and submits payments to the Finance department.
  4. Handles the processing of the pension plan by completing and submitting all necessary forms to OMERS, including enrollments, waivers, terminations, and leaves. Conducts year-end reconciliations.
  5. Offers guidance and information to employees approaching retirement regarding leave calculations and benefits.
  6. Processes personnel changes in the payroll system, such as increments, reclassifications, and promotions; ensures the accuracy of documents before filing in employee personnel records.
  7. Participates in onboarding sessions and provides training on the payroll system.
  8. Manages employee benefits, including registrations, terminations, and changes in employee status and rates; reconciles monthly payments.
  9. Acts as the primary contact for all employee benefit inquiries and resolves discrepancies with the insurance provider.
  10. Maintains reports on part-time hours and regularly communicates results to relevant managers.
  11. Updates seniority and employee progression records.
  12. Generates reports, including Crystal reports as requested by divisions or directed by the Supervisor – Payroll.
  13. Responds to general inquiries from management or employees regarding leave balances, attendance, and payroll matters.
  14. Possesses knowledge of employment policies, procedures, processes, and collective agreements.
  15. Delivers quarterly and annual attendance reports to leadership, as well as on an ad-hoc basis.
  16. Maintains up-to-date knowledge of and adheres to all legislation and Tbaytel policies relevant to the role and responsibilities.
  17. Provides support to the Human Resources Team as needed.
  18. Performs additional duties as assigned.

Minimum Qualifications

  1. Degree or diploma in Business Administration, Finance, or a related field.
  2. Two years of experience in performing comprehensive payroll activities, including familiarity with payroll and HRIS systems.
  3. Exceptional problem-solving abilities with a strong attention to detail and effective time-management and multitasking skills.
  4. Proven accuracy in data entry tasks.
  5. Strong interpersonal skills with a demonstrated capacity to work effectively as part of a team.
  6. Professional and courteous verbal and written communication skills, with the ability to engage effectively with customers.
  7. Proficient in various computer software applications, including email, MS Office (Excel, Word, PowerPoint), and Google Drive (Sheets, Docs, Slides), with the ability to learn new software as necessary.

Preferred Qualifications

  1. Experience with the VISTA payroll system.
  2. Payroll Compliance Practitioner (PCP) certification.

  1. Must successfully complete a satisfactory criminal records check.
