You will be accountable for all facets of your designated events, making the ideal candidate both analytical and imaginative, with the capability to effectively manage multiple projects throughout the year – executing a plan to meet objectives and ensure an exceptional customer experience. You are a driven yet personable individual eager to advance in a role alongside a dynamic, entrepreneurial, and vibrant team.

  • Develop and implement the vision for the events, including crafting show themes, exhibitions, features, promotions, advertising, and sponsorship opportunities.
  • Collaborate with Operations, Marketing, Sales, and Finance to create event budgets, monthly forecasts, profit and loss statements, and maintain financial oversight.
  • Formulate and monitor event business plans to ensure alignment with the organizational vision.
  • Foster consistent communication with departments and ensure uniform practices across the organization and broader business.
  • Build relationships within the industry to identify new business opportunities and maintain and develop governmental and ministerial connections.
  • Stay informed about current sales practices in the industry and provide recommendations based on acquired knowledge.
  • Manage exhibitor communications and relationships, including conflict resolution and challenging account receivables situations.
  • Oversee floor plans, seeking opportunities to enhance floor plan yield and improve traffic flow.
  • Actively engage in the sale of stakeholder packages, sponsorships, advertising, and exhibit space.
  • Possess comprehensive knowledge of all aspects of the energy sector.
  • Regularly meet (in person) with key service and supply companies and energy producers to strengthen relationships between our events and our clients.
  • Analyze and interpret significant developments and/or trends in the energy sector and initiate changes when necessary.
  • Serve as the media spokesperson for the events, becoming the 'face' of the events.
  • Participate in external events that will promote the company as a vital member of the industry and community.
  • Attend related exhibitions to connect with current clients and cultivate relationships with potential clients.
  • Conduct regular project meetings with the event team to ensure all departments adhere to critical paths, budgets, and are updated on each event.
  • Communicate and manage the customer care philosophy and programs internally and to clients and prospects.
Assist in providing ongoing training and familiarization of staff with standard policies, practices, services, and the use of research data.
Key Accountabilities: Event Strategy

  • Establishing short to long-term strategic direction and vision for our events (exhibition and conference). Responsible for developing event themes, features, promotions, and revenue-generating opportunities.
  • Collaborate with department heads to create a clear event plan, approved by the SVP Energy, in line with the overall event vision.
  • Develop and monitor the event plan to ensure alignment with the business vision.
  • Build and nurture key stakeholder relationships.
  • Maximize revenues and commercial opportunities through effective event positioning.
  • Oversee the entire event process, including the preparation and development of event budgets, sales strategies, business plans, critical paths, profit and losses, and maintaining financial controls. Sales
  • Achieve overall event sales revenues (Exhibition / Sponsorship / Delegate) and manage key accounts.
  • Collaborate with the Sales Director to formulate a comprehensive Sales Plan to ensure the Exhibition and Sponsorship sales team operates effectively to deliver maximum revenue growth in line with the event vision, covering team structure, resource allocation, focus, promotional plans, KPIs, and performance.
  • Cultivate relationships with key accounts and co-hosts.
  • Oversee the execution of the Sales Plan with the Sales Director.
  • Work with the SVP and Director of Content to create a comprehensive Delegate Sales Plan to ensure revenue growth in line with the event vision.
  • Manage and expand the agent network. Industry
  • Establish relationships throughout the industry and with governments to ensure the relevance of the events to the markets they serve.
  • Analyze and interpret significant developments and/or trends in the industry and initiate changes when necessary.
  • Participate in external events that will promote the company as a vital member of the industry and community.

  • Build, manage, and motivate a high-performance team to drive the event's growth.
  • Ensure that the overall sales team has appropriate current and future talent in place and that comprehensive training, development, and succession plans are implemented. People Management Promote consistent communications with departments and maintain knowledge about each aspect of the event, including theme, exhibition, conference, and operations.

Ensure post-event meetings for each event are conducted, creating a list of objectives and improvements for future events, and ensuring those improvements are implemented.

Ensure company processes are aligned and optimized to guarantee the successful delivery and performance of our events.  Marketing, Production, Operations

  • Collaborate with heads of department and event leads to produce a plan, approved by the SVP Energy, designed to deliver the event vision.
  • With heads of department, ensure the execution of the plan is delivered on time and is consistent with the event vision.
  • Oversee the budget and ensure costs are controlled and managed effectively, with a focus on cost savings P&L.
Overall responsibility for the event P&L, ensuring budgeted revenue and profit are exceeded and quarterly forecasts are delivered accurately.
Qualifications and Experience:

  • Experience in domestic and/or international exhibitions/conferences.
  • Significant experience in organizing large-scale exhibitions and conferences.
  • A strong understanding of the Energy sector and the ability to develop events/features around key issues.
  • A proven ability to position exhibitions and conferences that attract significant stakeholder interest.
  • Knowledge and experience of Profit & Loss responsibility is desirable.
  • High level of organizational skills, both personally and on a team basis.
  • Ability to work under pressure with minimal supervision.
  • A keen attention to detail.
  • A creative approach to addressing day-to-day challenges.
  • Excellent communication skills are essential, as the role involves liaising with a range of professionals including major clients, sponsors, participants, sub-contractors, suppliers, and in-house management.
  • Strong networking and information-gathering abilities.
  • Good customer care attitude and skills.
  • Excellent presentation skills.
  • Advanced Microsoft Office skills are essential, and familiarity with software such as Salesforce would be an advantage.
