Job Description

Airswift is seeking a skilled professional to fill the role of Procurement Specialist in our Calgary, AB office. As a key member of our team, you will be responsible for managing the end-to-end procurement process for services and materials.

Key Responsibilities:
  • Supplier Management:
  1. Coordinate the qualification process for new suppliers, including prequalification, qualification, and onboarding.
  2. Manage ongoing supplier relationships, including issue resolution and dispute management.
  3. Facilitate onboarding sessions and training for receiving and invoicing processes.
  • Contracting & Procurement (Pre-Award):
  1. Manage the sourcing, contracting, and procurement process for services and materials, including the creation and management of purchase documents.
  2. Responsible for the end-to-end RFx process, including sourcing strategy documents and key aspects.
  3. Complete evaluation, negotiation, and contract award/execution, including resolving exceptions to contract terms and conditions.
  • Contracting & Procurement (Post-Award):
  1. Manage contract and PO revisions, ensuring that revisions are driven by contractual changes.
  2. Expedite delivery of PO services and materials, including producing reports on delivery dates and communicating with suppliers.
  3. Support receiving and invoicing functions on issues related to contractual terms and conditions.
  4. Execute contract and PO closeout requirements, including confirming closeout requirements have been met.
  • SCM Governance & Reporting:
  1. Complete and execute SCM governance documents, including Supply Chain Plans and Contract Award Summary forms.
  2. Support SCM governance in quarterly SCM governance compliance KPI process.
  3. Submit Value Creation forms to SCM governance and clarify submissions as requested.
  4. Complete supplier rate and spend analytics with support from SCM governance.

Requirements:

  • Strong understanding of procurement principles and practices.
  • Excellent communication and interpersonal skills.
  • Ability to work in a fast-paced environment and prioritize multiple tasks.
  • Proficiency in procurement software and systems.
