Responsibilities of the Billing Operations Specialist include:
- Cultivating and sustaining productive relationships with billing attorneys, paralegals, legal assistants, clients, and management.
- Monitoring time entry deadlines and coordinating with legal staff to ensure timely preparation, printing, and review of prebills, adhering to client billing protocols and firm policies.
- Overseeing and assessing outstanding Work In Progress (WIP) to facilitate prompt billing, while tracking milestone billing arrangements and reporting status to supervisors.
- Generating various reports and spreadsheets related to billing, receivables, and time management for legal staff and external clients as necessary.
- Issuing invoices per attorney instructions and in compliance with client billing guidelines, including narrative modifications and fee adjustments.
- Ensuring timely delivery of invoices and supporting documents to clients through various communication channels.
- Collaborating with the Finance Department to maintain updated client codes and ensure adherence to established procedures.
- Working with the E-billing Team to address any rejected invoices during submission processes.
- Completing online status reports and budgets in e-billing systems in coordination with legal staff.
- Monitoring compliance with Alternate Fee Arrangements, ensuring special rates and discounts are applied correctly.
- Acting as a liaison between legal staff and Finance, addressing accounting inquiries to meet client needs.
- Conducting initial collection inquiries with clients and escalating issues to billing attorneys as needed.
- Gathering information for special arrangements and assisting the E-billing team in setting up matters promptly.
- Coordinating with the Billings Team to manage team inbox requests and support during peak periods.
- Maintaining accurate records of approvals and directions in accordance with firm policies.
- Reviewing and translating narratives to ensure billing accuracy in the appropriate language.
Ideal Candidate Profile:
- Post-secondary education in Accounting or equivalent experience.
- A minimum of 3 years of relevant experience in client service, billing, collections, or accounts receivable, preferably within a professional services environment.
- Familiarity with Aderant Expert or similar accounting software is advantageous.
- Excellent time management skills with the ability to multitask and meet deadlines under pressure.
- Strong analytical and problem-solving abilities.
- Exceptional attention to detail and organizational capabilities.
- Knowledge of business and legal terminology.
- Ability to demonstrate tact and diplomacy in client interactions.
- Willingness to work overtime during peak billing periods.
- Proficient written and verbal communication skills.
- High level of discretion and confidentiality.
