Role Summary
As a Resource Desk Administrator, you will play a vital role within a cooperative team, ensuring the delivery of efficient services and programs to our clients and stakeholders.
Key Responsibilities
- Welcome clients, assist with check-in, and offer refreshments; notify professionals upon client arrival.
- Manage incoming calls, operate the switchboard, and oversee daily office arrangements.
- Conduct general office tasks, including handling couriers, sorting incoming mail, and managing faxes.
- Organize meeting spaces, including setting up refreshments and coordinating invitations for visiting personnel and clients.
- Distribute office memos, including property management updates as necessary.
- Procure office supplies, testing materials, kitchen essentials, and fulfill special requests.
- Coordinate and allocate office space for clinicians.
- Address and rectify any scheduling discrepancies.
- Ensure the security and effective transfer of client records.
- Adjust clinician schedules as needed and rebook returning clients.
- Communicate with building maintenance and suppliers/vendors.
- Assist with special projects as assigned by the supervisor.
- A minimum of 2 years of experience in a professional office and customer service setting.
- Proficient in English, both written and verbal.
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable with various technical platforms.
- Strong organizational and time management abilities.
- Demonstrate positive service behaviors towards both internal and external stakeholders.
- Ability to collaborate effectively with others.
- Take accountability for actions and decisions.
- Commitment to professionalism and confidentiality.
- Open to new ideas and innovative approaches.
- Detail-oriented individual who ensures accuracy in tasks.
