Role Overview
The Billing Coordinator plays a crucial role in managing the complete billing cycle for our clients, ensuring that all billing processes are executed with precision and efficiency.
Key Responsibilities
- Achieve monthly billing targets as outlined in forecasts.
- Generate and analyze weekly/monthly Work in Progress (WIP) reports for discussion with account teams.
- Review and process invoices based on signed contracts and agency standards.
- Collaborate with producers to oversee the billing process, ensuring accurate project reconciliations.
- Address billing inquiries that deviate from signed estimates, working with producers and account teams to find solutions.
- Create journal entries to allocate revenue to the correct accounts upon job completion.
- Ensure timely and accurate invoicing, differentiating between immediate billing needs for prebills, project fees, and final invoices.
- Identify and apply the correct tax rates on invoices.
- Review invoice drafts for accuracy before obtaining necessary approvals from producers and account managers.
- Utilize an external client e-invoicing portal for document uploads and invoice processing.
Qualifications
- Proficient analytical skills with a strong command of Excel.
- Familiarity with communication tools such as Slack, Zoom, and Google Docs.
- Meticulous attention to detail.
- Team-oriented with a focus on problem-solving.
- Strong interpersonal skills with effective oral and written communication.
- Able to thrive in a fast-paced environment while delivering high-quality results.
- Minimum of 2 years of experience in a billing position within a high-volume setting.
- Experience with Sage Intacct is advantageous but not mandatory.
