Role Summary:


As a Resource Desk Administrator, you will play a vital role within a dynamic team, ensuring the delivery of efficient services and programs to our clients and stakeholders.

Key Responsibilities:

  • Welcome clients, manage check-ins, and offer refreshments; alert clinicians upon client arrival.
  • Handle incoming calls, oversee the switchboard, and maintain daily office setup.
  • Execute general office tasks, including managing courier services, incoming mail, and fax sorting.
  • Organize meeting spaces, including arranging refreshments and coordinating invitations for visiting personnel and clients.
  • Distribute office memos, including property management updates as necessary.
  • Procure office supplies, testing materials, kitchen essentials, and fulfill special requests.
  • Coordinate and allocate office space for clinicians.
  • Address and rectify scheduling discrepancies.
  • Ensure the security and effective transfer of client files.
  • Adjust clinician schedules as required and rebook returning clients.
  • Communicate with building maintenance and suppliers/vendors.
  • Assist with special projects as assigned by the supervisor.
Qualifications:

  • A minimum of 2 years of experience in a professional office and customer service setting.
  • Proficient in English, both written and verbal.
  • Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and comfort with various technical platforms.
  • Strong organizational and time management abilities.
  • Demonstrate positive service behaviors towards both internal and external stakeholders.
  • Ability to collaborate effectively with team members.
  • Take ownership of actions and decisions.
  • Commitment to professionalism and confidentiality.
  • Open to new ideas and innovative approaches.
  • Detail-oriented individual who prioritizes accuracy.
