Role Summary:
As a Resource Desk Administrator, you will play a vital role within a dynamic team, ensuring the delivery of efficient services and programs to our clients and stakeholders.
Key Responsibilities:
- Welcome clients, manage check-ins, and offer refreshments; alert clinicians upon client arrival.
- Handle incoming calls, oversee the switchboard, and maintain daily office setup.
- Execute general office tasks, including managing courier services, incoming mail, and fax sorting.
- Organize meeting spaces, including arranging refreshments and coordinating invitations for visiting personnel and clients.
- Distribute office memos, including property management updates as necessary.
- Procure office supplies, testing materials, kitchen essentials, and fulfill special requests.
- Coordinate and allocate office space for clinicians.
- Address and rectify scheduling discrepancies.
- Ensure the security and effective transfer of client files.
- Adjust clinician schedules as required and rebook returning clients.
- Communicate with building maintenance and suppliers/vendors.
- Assist with special projects as assigned by the supervisor.
- A minimum of 2 years of experience in a professional office and customer service setting.
- Proficient in English, both written and verbal.
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and comfort with various technical platforms.
- Strong organizational and time management abilities.
- Demonstrate positive service behaviors towards both internal and external stakeholders.
- Ability to collaborate effectively with team members.
- Take ownership of actions and decisions.
- Commitment to professionalism and confidentiality.
- Open to new ideas and innovative approaches.
- Detail-oriented individual who prioritizes accuracy.
