Job Summary

The Contracts Manager, Operations is responsible for elevating the customer experience at Oakridge Park by showcasing essential customer-facing services and maintaining the highest building standards in a safe, code-compliant, and environmentally responsible manner.

Key Responsibilities
  1. Supervise Dock Master Operators to ensure adherence to company policies and procedures, quality control, professional appearance, training, and overall performance.
  2. Lead regular team meetings to promote engagement and accomplish goals.
  3. Develop team performance objectives, track, and manage departmental KPIs.
  4. Train and rotate employees in different areas to maintain a flexible workforce.
  5. Handle on-the-job problems, concerns, and complaints in a timely and professional manner.
  6. Coordinate and manage third-party contracts and contractors to ensure specifications, standards, safety practices, and KPIs are adhered to.
  7. Document ongoing contract inspections and provide action planning for deficiencies.
  8. Manage 3rd-party contracts through performance objectives and KPIs.
  9. Ensure the property and buildings are maintained in a first-class manner, including curb appeal, aesthetics, safety hazards, and the welfare of the property.
  10. Oversee daily loading and dock reservations, respond to tenant service enquiries, and ensure the team provides a high standard of customer service.
  11. Conduct periodic follow-up calls and meetings with tenants and stakeholders to solicit feedback on team performance.
  12. Oversee campus-wide waste management programs and manage Oakridge's sustainability objectives and waste diversion targets.
  13. Collaborate with internal stakeholders, including QR's Operational Excellence, to ensure sustainability initiatives are consistent with corporate objectives.
  14. Manage contract expenses and budgets, issue purchase orders, and assist with annual budgeting processes for departmental activities.
  15. Oversee and manage CapEx projects and major repairs.
  16. Collaborate with other supervisors to provide a safe working environment for all employees and participate in corporate occupational health and safety programs.
  17. Conduct insurance and risk management inspections, remedial actions, and reports.
  18. Document and record daily/weekly logs, incident reports, and life cycle forecasting reports of building equipment.
  19. Liaise with regulatory or civic authorities as required.
  20. Provide emergency response coverage as required.
Requirements
  1. 5+ years' experience in a commercial, retail, or hospitality setting with direct supervisory experience.
  2. Comprehensive understanding of building operations and contract management.
  3. Post-secondary and/or related courses in contract and performance management preferred, FMA, RPA, or BOMI an asset.
  4. WHIMIS and First Aid training.
  5. Understanding of financial reports, budget planning, and forecasting, procurement.
  6. Intermediate skills in Microsoft Office (Excel, Word, and Outlook).
  7. Ability to read construction drawings with general knowledge of building envelope/construction.
  8. Strong organizational, planning, and time management skills.
  9. Excellent analytical and creative problem-solving skills with the ability to solve problems and achieve goals using facts and sound reasoning.
  10. Strong oral and written communication skills.
  11. Self-motivated team player who is committed to personal growth and ethical integrity.
