Position Overview

Calian is seeking expressions of interest for the position of Site Operations Supervisor at various locations, aimed at supporting a future project with the government focused on providing temporary accommodations for asylum seekers entering Canada.

Key Responsibilities

  • Oversee and coordinate resource schedules effectively.
  • Ensure adequate staffing is available for site operations across all shifts.
  • Verify that all personnel are qualified, trained, and equipped to fulfill their roles.
  • Manage the daily needs of asylum seekers and humanitarian arrivals on-site.
  • Facilitate the transportation of asylum seekers to and from temporary accommodation facilities.
  • Organize and allocate rooms and beds for asylum seekers across multiple sites, maintaining an electronic record of assignments and relevant information such as unexpected departures or medical trips.
  • Generate and provide necessary reports.
  • Monitor and document the meal provisions for asylum seekers from the accommodation site or external providers.
  • Collaborate with kitchen staff or catering services to ensure meal quality and quantity meet established standards.
  • Participate in meetings, either in person or via teleconference, to address operational challenges, identify areas for improvement, and ensure effective contract management and operational efficiency.
  • Register asylum seekers upon arrival by:
    • Verifying identification and documentation.
    • Gathering information on special needs, medical conditions, dietary restrictions, family compositions, etc.
    • Maintaining an electronic guest registry.
    • Coordinating room assignments.
    • Conducting orientation sessions covering:
      • Location of nearby amenities (e.g., financial institutions, grocery stores, public transport).
      • Overview of on-site facilities, including health, rest, prayer, and meal distribution areas.
      • Access to city and public services from the accommodation site.
      • Rules and responsibilities during the stay.
      • Emergency procedures.

Ensure all required documentation is printed and distributed to asylum seekers within three days of request.

Qualifications

  • Post-secondary education.
  • A minimum of one year of relevant experience in staff, operations, and facility management, particularly with asylum seekers, is preferred.
  • Eligibility for Enhanced Reliability security clearance.
