Responsibilities:

  • Assist the Branch Manager with various administrative tasks.
  • Support the Branch Manager in preparing monthly reports.
  • Help the Branch Manager with accounts receivable collections.
  • Provide reimbursement documentation to the Branch Manager for review and approval.
  • Generate purchase orders, issue customer invoices, and keep accurate records.
  • Input Visa receipts and invoices into the system.
  • Receive vendor invoices and ensure they match tickets and purchase orders for accuracy.
  • Confirm pricing accuracy on invoices and liaise with vendors for any necessary adjustments.
  • Support Account Managers with contracts and proposals; supply necessary clearance certificates and signed documents as required.
  • Gather and submit reports related to snow and ice management as per client specifications.
  • Establish and maintain organized filing systems.
  • Review branch safety documentation.
  • Assist in managing the inventory of company uniforms.
  • Respond to general phone inquiries and provide accurate information promptly.
  • Assist with employee inquiries and onboarding processes, including scheduling and facilitating new employee orientations.
  • Help troubleshoot company software and mobile applications.
  • Coordinate company events and activities.
  • Perform additional duties as assigned.

Qualifications:

  • Minimum of 2 years of administrative experience is essential.
  • Post-secondary education in a relevant field is advantageous.
  • Basic proficiency in Excel is required.
  • Strong analytical skills and attention to detail are necessary.
  • Ability to manage multiple tasks effectively in a fast-paced setting.
  • Reliable and accountable.
  • Inherently friendly and enjoys assisting team members.
