Shifts: 8 and 12-hour shifts - Days, Evenings, Nights, and Weekends

Position Overview
The Unit Coordination Assistant (UCA) plays a vital role in providing administrative support for patient services, managing information flow, and ensuring the efficient operation of the unit. This position encompasses a variety of responsibilities aimed at enhancing patient care and unit functionality.
Key Responsibilities
Patient Administrative Services
- Manage and coordinate patient information, facilitating effective communication for optimal patient care;
- Update patient demographics and contact information;
- Address patient and family inquiries, escalating concerns as necessary;
- Collaborate with internal departments and external healthcare partners to manage appointments and patient transfers;
- Maintain accurate records of patient movements and appointments;
- Respond to patient call bells and inquiries, ensuring timely assistance;
- Prepare necessary documentation for patient discharge.
Information Management
- Ensure accurate patient charts are maintained and sent to Health Records;
- Update relevant information sheets and audits as required;
- Enter data into the Critical Care Information System (CCIS).
Reception and Engagement
- Welcome visitors and patients, directing them to the appropriate personnel;
- Admit patients to the unit, confirming necessary demographic and insurance information;
- Explain hospital policies and procedures to patients and visitors;
- Handle telephone inquiries, directing calls as needed.
Clerical Administration
- Maintain office supplies and inventory;
- Ensure operational readiness of equipment and furniture;
- Process financial transactions related to unit supplies;
- Participate in unit meetings and contribute to operational discussions;
- Manage incoming correspondence and messages for unit staff.
Scheduling and Payroll Support
- Assist staff with scheduling and timekeeping inquiries;
- Collaborate with scheduling clerks to ensure staffing alignment;
- Access unit schedules to address staff inquiries.
Qualifications
- High school diploma or equivalent; additional education in healthcare administration is advantageous;
- Experience in an administrative role, preferably in a healthcare setting;
- Proficiency in computer applications and familiarity with healthcare information systems;
- Strong customer service skills and ability to communicate effectively.
