ROLE
Dentons is seeking a proactive and detail-oriented Strategic Initiatives and Communications Specialist to join our National Operations team. This position is crucial in supporting our internal leadership reporting and communications functions. The ideal candidate will possess exceptional writing and editing abilities, advanced skills in presentation software, a meticulous eye for detail, and the capability to assist in managing and optimizing operational processes across the Firm.
As a collaborative team player, you will work closely with the National Operations and Internal Communications teams, as well as cross-functionally with business services professionals throughout the Firm. You will provide essential organizational, administrative, and strategic support to:
- our National Operations team in facilitating key strategic projects and executing essential Firm processes, which includes delivering high-quality, proactive, and value-added support to the Firm's internal leadership reporting process; and,
- our Internal Communications team in enhancing the Firm's overall internal communications function and key internal communications channels (such as the intranet and national internal newsletter, among others).
RESPONSIBILITIES
- Draft and refine high-quality written materials for Firmwide communication channels, leadership meetings, and regular reporting processes to partnership and senior leadership. Materials may include newsletters, intranet articles, reports, presentations, and preparatory documents.
- Provide administrative support for senior leadership meetings, including managing the meetings and communications calendar, preparing agendas, transcribing minutes, executing action items, and coordinating meeting requirements.
- Assist in managing the internal communication calendar, the monthly newsletter, the intranet portal, and reporting on communication activities to the business and leadership.
- Deliver critical daily administrative support to ongoing or new initiatives and key firm processes in a collaborative manner, demonstrating poise, tact, and diplomacy.
- Collaborate with the internal communications team on Firmwide projects and initiatives as they intersect with external communications and public relations.
- Maintain and oversee project plans, schedules, budgets, and expenditures.
- Perform additional tasks or duties as assigned.
REQUIREMENTS
- Two (2) to three (3) years of experience in administrative and operational support, internal communications, or a similar role. Experience in a law firm or professional services environment is considered an asset.
- Post-secondary degree or diploma in communications, marketing, or business administration and/or equivalent combination of education/work experience.
- Excellent written and verbal communication skills, with an ability to effectively engage with individuals at all levels of the organization and present information in an impactful and visual manner, and full command of the English language, including grammar, punctuation, and spelling.
- Strong attention to detail, drafting/writing, copy-editing, and proof-reading skills, with the ability to anticipate concerns or issues proactively.
- Ability to manage confidential and/or sensitive information, demonstrating adherence to and a commitment to privacy and ethical conduct.
- Superior organizational and project management skills—ability to multi-task; prioritize and organize deliverables; balance competing priorities to meet deadlines, work under pressure; and work with multifaceted, complex projects in a dynamic, fast-paced and client-focused environment.
- Professional, self-motivated, creative, enthusiastic, and results-driven team player who can work independently with minimal supervision and/or collaboratively with local, national, and global multidisciplinary teams, with strong emotional intelligence.
- Basic business and/or financial acumen considered an asset.
- Bilingualism (English/French) an asset, but not required.
- Strong competency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint, and SharePoint.
