About the Role

We are seeking a highly organized and detail-oriented Academic Administrative Assistant to join our team at CB Canada. As an Academic Administrative Assistant, you will play a critical role in supporting the Academic Leadership team and ensuring the seamless coordination and execution of contracts, high-priority meetings, and communications.

Key Responsibilities
  • Support the Program Leaders
    • Maintain faculty files and manage claims for reimbursement of expenses
    • Schedule meetings and track documentation related to program-level committees
    • Assist with the preparation for regulatory reviews and regulatory site visits
  • Coordinate Communications
    • Help prepare non-teaching contracts with Human Resources
    • Liaise with contractors and Finance
    • Compile information required for instructor assignments and assist with scheduling in preparation for term teaching appointments
  • Project Work
    • Play a supporting role assisting with strategic programming initiatives
  • Build Relationships
    • Foster collaboration and open communication with staff, faculty, students, school personnel, and third parties
Requirements
  • Education and Experience
    • Diploma or degree in a business-related field or equivalent experience
    • Experience supporting managers, managing filing and communications, and coordinating meetings, ideally in a higher education environment
  • Project Management Skills
    • Experience coordinating projects from end to end
    • Ability to balance and change priorities, anticipate and respond to issues, and manage details
  • Technical Skills
    • Expertise in MS Office Suite
    • Familiarity with project management, productivity, and communication tools
  • Interpersonal Skills
    • Professional communication skills, including conducting and tracking research, writing documentation, and creating reports
    • Ability to influence without authority, manage conflict, and nurture trusting relationships at any level
