Job Summary
We are seeking a highly skilled Property Administrator to join our Residential team in Inuvik, NT. As a key member of our operations team, you will play a critical role in ensuring the effective management of our properties.
Key Responsibilities
- Provide exceptional customer service to residents and prospective residents, responding to inquiries and resolving issues in a timely and professional manner.
- Manage the day-to-day operations of our property management offices, including coding payables invoices, setting up vendor accounts, and creating and closing purchasing orders.
- Process bank deposits, EFTs, and security deposit refunds, ensuring accuracy and compliance with company policies.
- Coordinate maintenance requests, ensuring they are handled in accordance with priority and properly input into our property management system.
- Audit Telelink work orders to ensure timely completion and quality of work.
- Maintain accurate and up-to-date resident files, including contact information and lease agreements.
- Prepare and send office correspondence, including resident letters, rent increases, and eviction notices.
- Validate utility bills and process chargebacks, ensuring accurate and timely payments.
- Perform ledger reconciliations and monthly postings, ensuring accurate financial records.
- Manage aged receivables, handle collection calls, and process RTDRS filings.
- Oversee office inventory and supplies, ensuring adequate stock levels and efficient use of resources.
- Receive and send mail and courier items, ensuring timely and secure delivery.
- Attend leasing meetings and prepare lease agreements for new tenant occupancy and renewals.
- Audit lease agreements to ensure compliance with company policies and regulations.
- Provide general customer service and maintain positive tenant relations.
- Perform other administrative duties as assigned by the Regional Manager.
Requirements
- Ability to work independently or in a team environment, with a strong focus on multitasking and prioritization.
- Previous administration experience, with a preference for property management experience.
- Knowledge of the Residential Tenancies Act and RTDRS filing system.
- Knowledge of Yardi Voyager, an asset management system.
- Intermediate level proficiency in MS Office suite.
- Excellent customer service skills and a pleasant demeanor.
- Ability to speak and write English fluently.
- Able to provide a criminal record free of relevant convictions.
