Position Overview: Programs Officer, Innovation Mobilization & Partnership

The University of Saskatchewan (USask) is a leading research-intensive institution located in a vibrant community. USask is recognized for its significant contributions to global challenges, particularly in areas such as water and food security and infectious diseases.

The Office of the Vice-President Research (OVPR) plays a crucial role in guiding the university's research, scholarly, and artistic endeavors. This is accomplished through the establishment of strategic partnerships, the formulation of plans, and the implementation of policies that foster a supportive research environment characteristic of a world-class institution.

Primary Objective: The Opus incubator, a newly established initiative within OVPR, is dedicated to nurturing entrepreneurial culture and supporting the development of startup ventures initiated by members of the USask community. The Programs Officer will be instrumental in the setup and enhancement of this program and its future offerings. The individual will collaborate with the Opus Manager and leadership within Innovation Mobilization and Partnerships to facilitate entrepreneurship programming aimed at empowering campus startup founders in transforming their ideas and innovations into impactful solutions.

Nature of Responsibilities: Reporting directly to the Manager of the Opus incubator, this role entails providing vital support for programming, events, and initiatives related to entrepreneurial activities throughout the institution.

The workload is substantial, requiring a self-directed approach in an unstructured and deadline-oriented environment. The incumbent will manage their own tasks by prioritizing effectively, meeting targets and deadlines, and documenting successful outcomes. Familiarity with the campus administrative landscape is essential for success in this role, along with the ability to cultivate and sustain relationships with various stakeholders.

Flexibility in working hours is essential, as evening commitments and occasional travel may be required. Reliable transportation is a necessity.

Key Responsibilities:

Program Coordination and Implementation

Conduct research, gather, and monitor key program metrics and performance indicators. Assist in the creation (research, draft, edit, proofread) and upkeep of program documentation, including guidelines, reports, presentations, and other official materials. Supervise the maintenance of the incubator's platform software to identify and address key issues, ensure accurate data entry and analysis, and coordinate with software vendors for problem resolution and enhancements. Provide training for incubator staff and program participants on utilizing the incubator platform software. Aid in the planning and execution of workshops/events/webinars, including vendor selection, venue coordination, budget management, timeline creation, post-event evaluations, and day-of logistics. Manage the calendars of incubator and program leadership, including scheduling sessions and meetings, proactively identifying conflicts, organizing meeting materials, and following up on action items. Collaborate closely with the Opus Manager to support stakeholder development as needed and liaise with funders when necessary. Utilize sound decision-making and problem-solving skills to ensure priorities and deadlines are met, taking initiative to plan for future changes or requirements beyond assigned tasks. Perform other relevant duties as assigned.

Outreach and Engagement

Support digital outreach efforts, including creating social media content and updating the Opus website using the university's web content management system. Maintain collaborative engagement with stakeholders through professional and courteous communication, including managing inquiries received through the incubator's general communication channels. Participate in innovation ecosystem events to foster positive relationships with community leaders, entrepreneurs, and other stakeholders.

Office Operations

Provide comprehensive office support for program operations, including ordering supplies, arranging courier services, taking minutes, and booking meeting spaces and catering for events. Assist the Opus team and program participants with expense requests, event registrations, payment processing, financial reconciliation, and the distribution of onboarding materials.

Qualifications: A Business Administration Certificate or a recognized post-secondary qualification in business or administration is required. An undergraduate degree in a related field is preferred. A combination of education and experience will be considered. Proficiency in Microsoft Office is essential.

Experience: 1-3 years of relevant experience in a post-secondary, not-for-profit, or similarly complex environment is required. Direct experience in entrepreneurial settings, along with previous program or marketing support, is highly valued. Familiarity with university systems is considered an asset for this position.

Skills:

Exceptional interpersonal and communication skills, both written and verbal. Strong problem-solving and decision-making abilities, highly organized, and capable of managing multiple projects with competing demands. Attention to detail and accuracy in work. Proficient in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint). Familiarity with social media platforms. Ability to identify and recommend improvements in program policies and procedures to enhance administrative delivery. Knowledge of web-based applications is an asset. Experience with website maintenance tasks is advantageous.
