Lead Property Management Specialist

Position Overview: Triovest Realty Advisors (BC) Inc. is in search of a Lead Property Management Specialist to join our dynamic team. This role is integral to the effective administration and operational management of a diverse commercial real estate portfolio.

Key Responsibilities:

  • Support the Property Management Team in daily operations and administrative tasks.
  • Establish and nurture relationships with clients, tenants, and service providers to uphold building standards and optimize service delivery.
  • Assist in financial management functions, including budgeting, forecasting, and accounts receivable reporting.
  • Conduct monthly financial variance analysis as needed.
  • Oversee the Accounts Receivable process, including tenant chargebacks, rent roll reviews, and timely rent collection.
  • Ensure compliance with lease agreements through effective communication and administration.
  • Collaborate with Lease Administration to accurately set up new tenants and manage lease renewals and expirations in accounting systems.
  • Coordinate the preparation of vacant units for re-leasing.
  • Respond to tenant inquiries regarding accounts, billing, and year-end reconciliations.
  • Maintain organized documentation, including agreements and vendor contracts.
  • Conduct regular site visits to properties as required.
  • Facilitate tenant engagement initiatives and participate in team training sessions.
  • Manage tenant Certificates of Insurance to ensure compliance with lease terms.
  • Assist in implementing national programs, policies, and best practices in property management.
  • Regularly review and update tenant manuals and guidelines to ensure accuracy.
  • Organize and execute tenant and building events in collaboration with the Property Management Team.

Qualifications:

  • A post-secondary degree in Accounting or Business Administration is preferred.
  • Minimum of three years of relevant experience in Commercial Property Management.
  • Proficiency in accounting, particularly within the commercial real estate sector.
  • Familiarity with Yardi Voyager and Yardi Payscan is advantageous.
  • Experience with Angus MRI is a plus.
  • Advanced skills in Microsoft Office applications.
  • Strong understanding of basic accounting principles.
  • Proactive in identifying potential issues and implementing preventive measures.
  • Exceptional organizational skills to manage multiple properties and tasks effectively.
  • Attention to detail in managing operational and financial aspects of properties.
  • Ability to adapt positively to change and deliver results within deadlines.
