The Billing Operations Specialist position is primarily based in Toronto and typically reports to the Department Manager. The core responsibilities will focus on the ongoing assessment and oversight of job costing and billing processes to support regional business operations. Key duties and responsibilities include, but are not limited to:

Billing Responsibilities

  • Comprehend billing and revenue terminology within contractual agreements
  • Ensure project configurations align with billing specifications, establishing billing lines as necessary
  • Produce precise and timely draft invoices for client approval, process approved invoices, and manage overdue payments
  • Address payment discrepancies related to performance
  • Reconcile monthly billed and unbilled amounts against revenue activities, investigating and resolving any discrepancies
  • Dispatch invoices to clients
  • Track job holdback release timelines and necessary documentation for release

Reporting and Documentation

  • Provide ad-hoc financial analyses and reports for management as needed
  • Complete necessary documentation at job initiation

EDUCATION REQUIREMENTS

  • Post-secondary education in accounting or finance
  • Demonstrated experience in budget preparation and management
  • Proficient in MS Office Suite (Excel, Word, Outlook) and JDE

WORK EXPERIENCE REQUIREMENTS

  • Minimum of 3 years of experience in job costing and billing administration
  • Experience within a construction environment is advantageous

  • Advanced proficiency in:
    • MS Office (Word, Excel, Project)
