Driver Trainer - Permanent Part-Time Hourly
Job Overview: The Driver Trainer is responsible for managing the order entry and administration of driver training programs. This role includes supporting representatives in preparing quotes, managing the trainer calendar, coordinating bookings, and facilitating all related communications. Additionally, the position involves importing and maintaining comprehensive records of all participants in training sessions.
Key Responsibilities:
Order Entry & Management

- Validate submitted Driver Training orders to ensure compliance with audit standards.
- Process Driver Training orders from sales representatives, including online keys, bookings, and training materials, in accordance with service level agreements.
- Manage trainer schedules by: Holding dates and providing availability to sales representatives based on a first-come, first-served basis. Confirming both live and virtual training sessions via email once dates are finalized. Adjusting and rescheduling sessions as necessary based on notifications from sales representatives and trainers. Entering bookings as they are received, focusing on maximizing order entry rather than optimizing the calendar. Planning travel arrangements for distant clients while considering travel expenses.
- Submit travel expense requests on behalf of trainers for training that requires overnight stays, flights, and vehicle rentals.
- Handle office tasks including processing credit card transactions, packaging and shipping training materials, and managing in-house printing of wallet cards.
- Organize and schedule training for employees across various departments as needed.
- Ensure timely processing of all invoices once orders are completed.
- Generate invoices for customers using the internal order management system.
- Follow up with trainers and representatives for any missing documentation that may delay invoicing.
- Manage credit and rebill processes as required.
- Collaborate with internal departments to address customer complaints and resolve invoicing discrepancies.
- Collect and send necessary credit card transaction information for processing.
Data Management & Reporting

- Generate reports on training records and course data as requested by sales representatives.
- Assist with inquiries related to training records, including expiration dates and certificate reprints.
- Import online transfer records from the training platform into the internal order management system on a daily basis.
- Maintain records of all training sessions conducted by internal and external trainers.
- Create and manage participant records and certification documentation.
Client Interaction

- Handle all incoming and outgoing communications using various platforms.
