We are looking for a detail-oriented and proactive Executive Assistant to provide support to two members of our Executive Leadership Team. You will serve as the primary contact for these Executives, delivering essential administrative support to help them maintain focus and efficiency. Additionally, you will manage various team-specific and office-related responsibilities in collaboration with the Executive Assistant Team. This is a full-time contract role.
Key Responsibilities:
- Calendar Coordination: Manage intricate calendars, schedule meetings, and proactively resolve conflicts.
- Business Prioritization: Grasp Executives' priorities to effectively optimize their time.
- Information Management: Keep Executives and their teams updated on upcoming commitments and responsibilities.
- Financial Administration: Organize receipts, prepare expense reports, stay informed on relevant budgets, and reconcile financial documents.
- Travel Management: Coordinate travel arrangements for Executives.
- Meeting Facilitation: Support regular team meetings by managing agendas, liaising with facilitators, creating presentations, and documenting notes.
- Event Coordination: Organize and execute team events, Hackathons, and off-site gatherings, both virtual and in-person.
- Team Collaboration: Facilitate monthly in-office lunches and manage company-wide events alongside the Executive Assistant team.
- Strategic Initiatives: Identify and achieve cross-functional strategic objectives with the Executive Assistant team.
- Process Enhancement: Identify operational inefficiencies and refine or develop new processes.
- Administrative Support: Address inquiries and confidential tasks promptly and efficiently. Provide personal administrative assistance to executives as required.
- Coverage and Support: Offer backup assistance for other Executive Assistants during their absences.
- Executive Projects: Assist with Executive initiatives, such as organization-wide town halls, presentation decks, proposals, and special project support.
Qualifications:
- 3+ years of experience in an Executive Assistant role within a fast-paced environment.
- Exceptional time management and organizational capabilities.
- Strong ability to work independently and execute tasks in an agile manner.
- Commitment to effectively support others and achieve team and organizational goals.
- Flexibility and adaptability to work with innovative technologies, including Google Workspace, Zoom, Slack, and more.
- Advanced proficiency in Google Workspace and Slack is a significant advantage.
