ABOUT THE POSITION:
We are in search of a meticulous and systematic investment fund coordinator to become a part of the ICM Asset Management team. The ideal candidate will handle a range of back-office administrative functions that support the capital acquisition of ICM-managed investment vehicles. This position offers a unique opportunity to collaborate across ICM's diverse platform, working closely with ICM's Legal, Compliance, Accounting, and Sales divisions, while also liaising with external capital raising associates. The role demands a keen eye for detail, the capacity to operate autonomously, and outstanding communication abilities.
This role is situated in a dynamic environment and will report directly to the Legal Administration Manager.
PRIMARY RESPONSIBILITIES:
Investor Onboarding and Reporting:
- Ensuring precise and timely updates to internal client databases through diligent data entry.
- Delivering internal fund data and marketing materials to external stakeholders.
- Inputting and verifying new investor details (name, address, banking information, etc.) to facilitate ICM's operational processes on a regular basis.
- Overseeing ICM's investor database by entering monthly closing documents.
- Coordinating with internal teams and external partners for the distribution, redemption, commission, and servicing fee payments on a regular schedule.
- Reviewing subscription documents and promptly identifying any outstanding or missing items.
- Addressing various inquiries from Client Services and Accounting teams, including updates and concerns regarding investor information.
- Maintaining accurate records of all investor transactions and updating the investor database accordingly.
- Reconciling records with external partners and resolving any discrepancies.
- Providing weekly status updates to ICM Partners.
- Managing monthly closings by collaborating closely with internal departments and third parties to meet strict deadlines.
Client Services and Administration:
- Offering support to the ICM Legal team as required, based on current activities and needs.
- Compiling monthly redemption lists.
- Monitoring the client services mailbox and conducting daily reviews of incoming requests.
- Ensuring prompt and accurate data entry for investor re-registrations, transfers, and unit exchanges.
- Participating in ad hoc projects as necessary or assigned.
YOUR QUALIFICATIONS:
A University Degree, College Diploma, or equivalent professional experience.
Ability to juggle multiple projects and adhere to tight deadlines.
Strong written and verbal communication skills.
Exceptional organizational and time management capabilities.
Proficiency in Microsoft Office Suite.
Discretion and the ability to manage confidential information with integrity.
Experience in fund or investment administration is advantageous.
A solid understanding of the asset management sector or finance is a plus.
