Position Overview:

The Client Care team at HearCanada plays a crucial role in providing outstanding service within our dynamic hearing clinics. In this position, you will be responsible for addressing client needs promptly, managing an organized appointment calendar, and identifying sales opportunities within the clinic. You will collaborate closely with healthcare professionals and management, acting as a representative for HearCanada by participating in local marketing initiatives.

This is a full-time contract position for 18 months (with a possibility of extension); the typical work schedule is Monday to Friday from 9 AM to 5 PM (some flexibility may be required for irregular appointments or events). The primary location for this role is in Saskatoon, specifically at our 8th Street East clinic, with some responsibilities at our Market Mall clinic.

Key Responsibilities:

  • Client Engagement: Handle incoming and outgoing communications, manage follow-ups with existing clients, welcome walk-in clients, and collaborate with team members to ensure optimal service delivery.
  • Appointment Management: Oversee scheduling for clinicians, including client appointments and maintaining accurate calendars.
  • Documentation Management: Ensure client records are accurately maintained in both electronic and physical formats.
  • Supply Management: Keep track of inventory and order necessary clinical and office supplies, obtaining approval for expenditures as needed.
  • Community Marketing: Engage in community-based marketing events to enhance brand visibility and awareness.
  • Financial Processing: Address client inquiries regarding payments, process insurance claims, and manage cash transactions.
  • Office Maintenance: Ensure a clean and safe clinic environment through regular sanitation practices.
  • Device Assistance: Support clients with hearing devices, including basic maintenance and troubleshooting.
  • Continuous Learning: Participate in ongoing training and development opportunities to stay informed about industry trends and best practices.

Qualifications:

  • Minimum of 2 years of experience in a customer-facing administrative or retail role; experience in a healthcare or high-traffic retail environment is preferred.
  • Experience working with diverse populations, particularly in healthcare or with elderly clients, is advantageous.
  • Comfort with handling hearing devices is essential.
  • A valid driver's license and access to a vehicle is preferred for local travel related to marketing events.
  • Strong customer service orientation with an understanding of its impact on business success.
  • Proficiency in using technology and software, including MS Office Suite; experience with scheduling software is a plus.
  • Excellent communication skills, both verbal and written.
  • Strong organizational and time-management abilities.
