About the Role

We are seeking a highly skilled and experienced Administrative Services Manager to join our team at Hamilton Dental. As a key member of our administrative team, you will be responsible for coordinating and managing various administrative services, ensuring the smooth operation of our dental office.

Key Responsibilities
  • Administrative Services Coordination: Coordinate and manage various administrative services, including records management, security, finance, purchasing, human resources, and other administrative services.
  • Department Evaluation: Evaluate the operations of the administrative department, identifying areas for improvement and implementing changes to optimize efficiency and effectiveness.
  • Financial Management: Collect and record administrative and service fees, assist in preparing annual budgets, and ensure accurate financial reporting.
  • Research and Planning: Conduct research to stay up-to-date on industry trends and best practices, and plan, organize, direct, control, and evaluate daily operations to ensure alignment with organizational goals.
  • Staff Supervision: Direct and advise staff engaged in providing administrative services, including records management, security, finance, purchasing, human resources, and other administrative services.
  • Corporate Governance: Direct and control corporate governance and regulatory compliance procedures within established guidelines.
  • Staff Development: Interview, hire, and provide training for staff, ensuring they have the necessary skills and knowledge to perform their duties effectively.
  • Reporting and Communication: Prepare reports and briefs for management committees evaluating administrative services, and ensure effective communication with staff, management, and other stakeholders.
Requirements
  • Education: Bachelor's degree in a related field.
  • Experience: 2 years to less than 3 years of experience in a similar role, or equivalent experience.
  • Work Setting: Health care institution, facility, or clinic.
  • Supervision: 5-10 people.
  • Work Conditions and Physical Capabilities: Attention to detail, large caseload.
  • Personal Suitability: Accurate, efficient interpersonal skills, excellent oral and written communication, flexibility, judgment, organized, team player, values and ethics, initiative.
