As a dynamic and forward-thinking organization, we are seeking a seasoned Lead Accounting Specialist to manage our financial operations and ensure the integrity of our accounting practices.

The Lead Accounting Specialist will report directly to the Controller and will play a crucial role in maintaining operational excellence in our daily financial and administrative functions. This position will assist in ensuring adherence to budgetary constraints and compliance with relevant financial policies and reporting standards.

Key Responsibilities:
  • Provide comprehensive support to the Controller and CFO.
  • Coordinate daily accounting and administrative tasks across finance, sales, and service departments.
  • Oversee and manage daily financial operations and cash flow processes.
  • Assist in finance reconciliations, month-end closing, year-end reporting, and other necessary analyses.
  • Maintain a thorough and organized filing system to support bookkeeping and financial documentation.
  • Supervise the accounts payable function, ensuring accuracy, timeliness, and compliance with established policies.
  • Collaborate with various departments to resolve accounts payable issues as they arise.
  • Ensure prompt and accurate processing of all invoices.
  • Code and enter vendor invoices while addressing any discrepancies.
  • Monitor vendor accounts to guarantee timely payments and foster positive relationships.
  • Ensure compliance with tax regulations related to accounts payable.
  • Match corporate credit card statements and employee expense claims with supporting documentation through the designated application.
  • Manage customer invoicing and oversee accounts receivable and collections.
  • Ensure compliance of sales, receivables, and receipts cycles with company policies.
  • Support the preparation of sales tax reports for timely tax return submissions.
  • Review and analyze aged accounts receivable and payable sub-ledgers to identify potential issues.
  • Work with other departments to ensure adherence to financial processes and compliance with health and safety standards.
  • Assist with the implementation of new ERP systems.
  • Collaborate closely with the Grant Department to provide necessary information and documentation.
  • Support the CFO and senior management with ad hoc financial analyses as required.
  • Provide guidance and mentorship to junior accounting staff as needed.
  • Perform additional duties as assigned.
Qualifications and Core Competencies:
  • Bachelor's degree in Accounting or Finance with a minimum of 5 years of experience in financial management.
  • Extensive experience managing accounts payable and receivable, along with other financial functions.
  • Strong understanding of financial principles and practices.
  • Proficient in financial software, Microsoft Office 365, and virtual meeting platforms.
  • Knowledgeable in cash management and capital management.
  • Able to work independently in a fast-paced environment.
  • Capable of managing multiple priorities and meeting tight deadlines.
  • Excellent verbal and written communication skills.
  • High level of integrity and ability to maintain confidentiality.
