Logistics and Programming Coordinator

IN A NUTSHELL
The Logistics and Programming Coordinator plays a key role in organizing Tribu’s festivals and experiences (APIK, Barbegazi, and JACKALOPE). They are responsible for managing logistics for athletes and staff, planning and executing on-site and off-site experiences, and preparing the necessary documentation to ensure smooth event operations.
This role requires close coordination with invited athletes, judges, MCs, and competition managers, as well as managing transportation, accommodations, and schedules. The Logistics and Programming Coordinator works closely with internal teams, partners, and technical staff to ensure seamless event execution and an optimal experience for participants.
They are also responsible for operational follow-up with athletes and key stakeholders during events to ensure smooth and efficient execution.
YOUR DAY-TO-DAY
1. Logistics Coordination for Athletes and Staff:
- Plan and book flights, ground transportation, and vehicles for athletes, judges, and programming staff.
- Manage accommodation needs (hotels, rooming lists, check-ins) and ensure proper follow-up.
- Coordinate detailed schedules for athletes, including competitions, media obligations, and VIP events.
- Draft and distribute logistical documents (invitation letters, insurance requests, itineraries).
2. Programming and Experience Management:
- Collaborate with the Programming Manager to develop on-site and off-site experience programming, including detailed scheduling of activities and competitions.
- Manage festival experiences (initiations, challenges, demos, friendly competitions, Q&A sessions, workshops).
- Oversee community activities and VIP experiences to ensure a smooth and engaging experience.
3. Coordination with Officials and Stakeholders:
- Act as the liaison with judges, MCs, and technical teams to ensure smooth and well‑organized competitions.
- Organize briefings and debriefings with judges, MCs, and technical teams.
- Prepare competition results documentation and ensure their timely delivery to digital teams and media.
- Develop MC cue sheets and athlete guides to facilitate smooth competition operations.
4. Event Monitoring and Industry Trends:
- Conduct active monitoring of industry events, athletes, and trends in action sports and entertainment.
- Identify new talent and opportunities to enhance festival programming.
- Document key event moments to facilitate effective post‑event communications.
REQUIREMENTS
- to 3 years of experience in logistics management, programming, or event coordination.
- Knowledge of specialized vocabulary, communities, and athletes in skateboarding and snowboarding.
- Excellent organizational skills and ability to manage multiple priorities.
- Experience managing transportation and accommodation for groups.
- Experience working with suppliers and negotiating services for transport accommodation.
- Bilingual in French and English (a third language is an asset).
- Availability for frequent travel and flexibility during festival periods.
ADDITIONAL ASSETS
- Ability to work under pressure and adapt to a fast‑paced environment.
- Experience with project management tools (Monday, Dext & G Suite).
- Familiarity with ticketing platforms (Shopify).
- Experience coordinating multi‑site events and working in an international context.

This role could evolve into positions in event programming management, event production, or global festival coordination.
📅 Start Date: Late January 2026
⏳ Duration: Seasonal contract with possible extension — full‑time until September 2026, with potential continuation afterward.
