This role is ideal for a proactive, detail-oriented professional who thrives in a fast-paced environment and takes pride in supporting senior leadership. You will act as an extension of the Vice President’s office, ensuring smooth operations and contributing to high-profile initiatives.**Key Responsibilities*** **Daily Administrative Support:** Deliver daily administrative assistance to senior leaders, including scheduling meetings and dynamic calendar management, expense reporting, travel arrangements, coordinating on-site events, and managing communications.* **Large-Scale Event Execution:** Plan and organize high-visibility corporate events such as monthly and quarterly Dealer meetings, including scheduling, agenda preparation, meeting minutes, and presentation materials.* Assist in the planning and execution of large-scale events, including the annual Dealer convention.* **Project Coordination**: Utilize Planview to format bi-weekly project reporting, coordinate work-back schedules, update project statuses, follow up with key stakeholders for outstanding items, and manage project financials.* **Vendor & Stakeholder Coordination:** Serve as the primary point of contact for vendors and internal stakeholders, ensuring timely and reliable responses.* **Financial Management**: Manage vendor invoicing, expense submissions, and maintain financial and budget documentation using Excel.**What You Bring*** **Experience**: 5+ years supporting VP-level executives in a fast-paced, professional environment.* **Technical Skills**: Advanced proficiency in Microsoft Office Suite (particularly Outlook, PowerPoint, and Excel). Familiarity with SAP Concur, Planview and Copilot is an asset.* **Project Coordination:** Experience managing project budgets, schedules, and acting as a key point of contact for stakeholders.* **Communication**: Exceptional written and verbal communication skills.* **Problem-Solving & Project Management**: Ability to take ownership of tasks, think creatively, and resolve issues efficiently.* **Independence & Initiative**: Highly self-sufficient, dependable, and able to manage multiple priorities simultaneously.* **Relationship Building**: Proven ability to establish valuable relationships within the organization.* **Professionalism**: Maintains discretion and confidentiality while working with senior leaders.* **Adaptability**: Positive attitude, resilience under pressure, and willingness to monitor emails occasionally outside regular hours.We’re always looking for great talent In addition to competitive pay, we offer:* Comprehensive benefits and retirement programs* Performance incentives, Continuing Education Programs* Other perks to support your well-being* Career growth opportunities and product discountsOur typical hiring range is between $44,000 and $73,000 per annum.
