Job Summary:
The Medical Office Assistant is responsible for performing a variety of administrative duties to Physicians and Northern Clinic services. The Medical Office Assistant is directly accountable to the Medical Office Manager.
Qualifications:
1. Persons of First Nations ancestry will be given preference (OHRC, Part II, Special Employment).
2. Diploma or certificate in Medical Office Administration or equivalent;
3. Previous experience (minimum 1-2 years) in a Medical Office;
4. Proficient with medical terminology;
5. Proficient keyboarding skills;
6. Proficient computer skills; Microsoft Office;
7. Possess excellent interpersonal and communication skills (both verbal and written);
8. Previous experience working within an electronic medical record;
9. Strong knowledge of medical office practices and procedures;
10. Ability to maintain effective working relationships with patients, medical and clinic staff and the general public;
11. Ability to work independently in a fast-paced work environment;
12. Ability to work in an office environment where work tasks for the day are multiple, interruptive, and priority changing;
13. Superior time management and organizational skills; very detail-oriented;
14. Must have experience and understanding of Native culture, and the geographic realities and social conditions within remote First Nation communities;
15. Must be willing to relocate and/or live in Sioux Lookout;
16. The ability to perform the duties of this job on a regular basis.
Roles and Responsibilities:
1. Provide day-to-day medical office administrative support to Physicians, other health professionals, residents/learners, and administrative staff;
2. Provide orientation for new locum physicians and learners;
3. Answer and efficiently administer all phone calls from Nursing Stations, Specialty Clinics, Patients, and any other Health Care Services/Agencies;
4. Make all appropriate outgoing calls to nursing stations, physicians, specialty clinics, patients, pharmacies, outside services;
5. Data enter and maintain current health records within the Electronic Medical Record (EMR);
6. Assist/complete any inquiry from within the circle of care;
7. Processing referral letters, which would include formatting, editing for spelling and grammar, conciseness, and accuracy, sending and follow-up;
8. Referral tracking;
9. Set up patient appointment dates and times as needed;
10. Electronic filing and management of patient charts;
11. Contribute to the creation and maintenance of office policies;
12. Ongoing office duties i.e. faxing, shredding, filing, mail, office supplies;
13. Maintaining strict patient confidentiality and adhere to policies and procedures in regard to the Privacy Act;
14. Act as liaison for OSCAR EMR design and Meditech;
15. Assist to navigate the complex health service delivery in Northern Ontario and the issues as they relate to First Nations health;
16. Any other duties assigned.
