The Operations Administrator will support the project management team and business operations at Volker Stevin Contracting. Key responsibilities include administering and invoicing projects and contracts, managing collections, and providing vacation coverage for tender administration. This role involves close collaboration with the Contract Administration team.
How You'll Add Value
- Accurately and efficiently set up projects in ERP systems (Viewpoint/Microsoft D365) using uploads from InEight estimating software, followed by completing additional project setup requirements.
- Execute project change orders, including adding contract items and maintaining detailed project folders for each contract or agreement.
- Process regular project billings, invoice requests, and force account billings based on input from Project Managers and Assistants; provide supporting documents such as Statutory Declarations and WCB letters.
- Assist with the management of accounts receivable by managing overdue invoices, coordinating with customers via phone or email to resolve payment delays, and assisting with reconciliations and payment applications.
- Facilitate 3rd party payment approvals from Consultants/Engineers, resolve payment discrepancies with stakeholders, and provide accounts receivable reports to General Managers and Executives as needed.
- Contribute to contract preparation, review, execution, and administration, ensuring compliance with insurance, bonding, and other legal requirements.
- Administer subcontract creation and compliance in collaboration with Project Managers and handle all contract/subcontract change orders.
- Provide vacation coverage for team members, including Tender Administration tasks such as setting up tenders and ensuring submission documentation is complete.
- Maintain professionalism in all interactions with clients, consultants, suppliers, and subcontractors while fostering strong relationships with Project Managers to address disputes and deductions effectively.
- Perform additional duties and responsibilities as required to support project and operational goals.
The ideal candidate for this position will possess the following:
Qualifications & Experience
- Minimum 2 years of relevant experience.
- High School Diploma or G.E.D, Accounting diploma or certificate preferred, although not required.
- Construction Industry experience or exposure is an asset.
- Proficient with Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
- Exposure to Viewpoint ERP, Microsoft D365, or another ERP system is a significant asset.
- Commissioner of Oaths is considered an asset.
- Excellent written and verbal communication skills, with the ability to engage with various levels internally and externally.
- Demonstrates a high degree of professionalism when interacting with internal and external parties, along with the ability to multi-task and meet deadlines in a full-time office environment.
