Position Title: Ophthalmic Clinic Coordinator
Location: Sudbury, ON
Term: Full-time, Permanent
Reports To: General Manager, Eye Van Program
Salary: $32.70/hour
Date: 21 January, 2025
Established as part of the Prevention of Blindness program in partnership with the Eye Physicians and Surgeons of Ontario, the Vision Loss Rehabilitation Canada Eye Van is a fully equipped, medical mobile eye care clinic that travels annually to provide ophthalmology service in Northern Ontario. This innovative program is aimed at reducing the incidence of vision loss within underserved, rural, remote, and Indigenous communities closer to home.
I. Scope and Summary of Primary Responsibilities
The position of Ophthalmic Clinic Coordinator, Eye Van program, is an integral part of the team at Vision Loss Rehabilitation Canada (VLRC). This role is responsible for the clinical excellence and delivery of patient care throughout Northern Ontario. You will work with the Eye Van team of staff and doctors to deliver high-quality patient care by conducting health screening and testing, operating medical equipment, collaborating with medical professionals, engaging community partners, and supporting clinical operations related to the program. A significant aspect of this role includes the support of patient schedules, planning, and implementation of program operations. This position includes extensive travel and consecutive overnight stays required at multiple rural and remote communities throughout Northern Ontario.
II. Essential Functions
This position entails, but is not limited to the following general responsibilities:
1. Maintain a positive culture of patient-centered care, working with the team to understand the program goals and objectives.
2. Under the guidance of the Ophthalmologist in the ambulatory setting, provide excellent patient care.
3. Obtain patient past and present ocular and general medical history. Provide other patient services and education as requested by the physicians, including referrals to other specialists and vision loss rehabilitation services and programs.
4. Perform visual acuity and diagnostic testing under the supervision of physicians. These tests include visual field testing, ocular coherence tomography, pachymetry, intraocular pressure checks, and other related ocular tests.
5. Perform intake and registration tasks upon patient arrival and ensure patient consent is obtained as per program policies.
6. Coordinate pharmaceutical, medical supply, and surgical instruments inventories and ensure instruments are sterilized following set protocols.
7. Maintain sanitization practices for all equipment and clinic areas in between patient appointments.
8. Perform administrative duties, including, but not limited to, data input, documentation of assessments, OHIP/Billing, Incident/Health and Safety Reports, and complete various evaluations.
9. Provide orientation for new Ophthalmologists, Residents, Medical and Ophthalmic related professionals on the Eye Van.
10. Perform tasks related to the pre/post Eye Van Tour.
11. Represent and participate in public relations activities under the guidance of the General Manager.
12. Travel to communities; prepare the unit for clinics including setup and testing of medical equipment, technology equipment, and computers.
13. Support the day-to-day operational aspects of the Eye Van program ensuring alignment with VLRC's provincial and national strategies and program specific policies and procedures.
14. Support the planning of patient schedules, booking of patients, and updates of patient records utilizing the program Electronic Medical Record Software.
15. Assist with the review of OHIP billing and the correction of billing errors, and input of new or changes to patient, referring healthcare provider, and Eye Van doctor information.
16. Work with electronic medical record (EMR) software and patient/client records to ensure all required information is captured as per program standards. This includes, but is not limited to, test results, referrals, consultation and prescription reports, and other patient notes.
17. Compile and update information on community healthcare contacts and organizations. Respond to general inquiries about the program and support the coordination of requests for information from patients and community partners.
III. Qualifications
Knowledge and Skill Requirements:
1. Exceptional skills in the areas of interpersonal interactions, professional discretion, confidentiality, and accountability.
2. Proven track record of client/patient service experience.
3. Excellent verbal and written communications.
4. Demonstrated strong initiative and motivation skills, as well as the ability to work both independently and as part of a team.
5. Excellent analytical, problem definition, and problem-solving skills.
6. Demonstrated knowledge of human anatomy, physiology, and pathology.
Experience and Education
1. Relevant post-secondary education within a health-related field and a minimum of 2-3 years' experience supporting patient/client services. (Nurse, Ophthalmic Assistant/Technician, or other healthcare disciplines will be considered based on experience and certification).
2. Sound knowledge of the not-for-profit, healthcare, long-term care, and community services sectors.
3. Experience in Ophthalmology or other Eye Healthcare discipline would be considered an asset.
4. French language skills are an asset.
