Your mission
JCCBI is looking for a Senior project Coordinator to help fulfill the mission of the Projects Departmentwhich is stated as follows: To ensure sound management of infrastructure projects by promoting a partnership approach and leveraging expertise for the benefit of the Corporation.
Reporting to the project director, you will ensure that the projects under your responsibility run smoothly. You play an active role in the development and implementation of project-based management, in line with the philosophy of the Project Management Institute (PMI). You produce, receive and analyze reports, and recommend measures to be taken to the project director and/or the project team. Working closely with the team, including the PCOs, you will contribute to project planning, budget, cost and schedule monitoring. In addition, you act as a mentor and play an active role in coaching staff members on project teams.
- Define, analyze and monitor project requirements to ensure that the scope of work is respected (all of work planned).
- Prepare project charters and plans with the project director, integrating the various areas of project management knowledge.
- Draw up a list of internal and external stakeholders for each project, and coordinate activities with them.
- Contribute to pre-project-to-project handover meetings and ensure potential issues are mitigated.
- In close collaboration with those in discipline managers and the PCO, plan and lead project integration meetings in SAP ByDesign and the review of monthly reports.
- Manage project change requests.
- Responsible for preparing project schedules in MS Project.
- Participate in variance analysis for accruals.
- Analyze progress reports from discipline managers to follow up with the PCO and then communicate the information to the project director.
- Take charge of assessing and quantifying project risks and present its analysis to the project director.
- When required, escalate information to the project director and ensure that the contingency plan is implemented and properly reflected in the budget.
- Participate in end-of-job meetings to ensure links with projects (project closure, lessons learned, etc.).
- Recommend solutions to the project director in the event of problematic situations outside of the project.
- Act as a key point of contact between the project director, discipline managers and PCOs.
- Carry out any other task or responsibility related to this component.
- Act as a mentor to project team members, sharing their knowledge of project management.
- Exercise professional leadership on complex projects with significant impact on the corporation.
- Recommend priority action plans for current and future projects.
- Play an important advisory role with colleagues from various departments regarding activities, enabling continuous improvement of the project management process.
- Recommend improvements to project management tools, initiate, support and disseminate, when required, new approaches aimed at increasing organizational efficiency, solving critical problems or generating opportunities.
- Participate in various working committees.
- Carry out any other task or responsibility related to this component.
Experience and education
- Bachelor's degree in engineering (civil engineering an asset).
- At least twelve years' relevant experience and at least two years' experience in major project management.
- Relevant experience in multidisciplinary team management or team leadership.
- Master cost management and planning.
- Good writing skills and the ability to understand and interpret plans, specifications and technical drawings.
- Hold an ASP Construction work site card.
- A valid class 5 driver's licence.
- Working knowledge of the Office suite: Excel, Word, Outlook, Access and MS Project and good knowledge of SAP ByDesign.
- Excellent verbal and written communication skills in both official languages (French and English).
Assets
- Master's degree in project management.
- PMP certification.
- Have held an equivalent position in a government or paragovernmental corporation.
- Experience with a consulting engineering firm and/or a road infrastructure contractor.
- Distinguish yourself through your understanding of a matrix project environment, your ability to exercise sound judgment in decision-making, and your ability to understand and present an overall view of your projects.
- Have influential leadership skills; be a good motivator for their colleagues; be able to pass on knowledge constructively and be highly adaptable.
- Excellent organizational and planning skills to meet objectives and deadlines.
- Proven ability to manage, coordinate or supervise several projects simultaneously.
- Strong interpersonal skills, excellent team spirit and political acumen.
- Excellent communication skills; ability to communicate proactively, clearly, concisely and effectively with stakeholders at various hierarchical levels.
Specific work conditions
- This position is based in our Quebec City office. Occasional travel to our Longueuil head office may be required.
