The Assistant, Programs Administration (Part‑time, Internship) will support the planning, coordination, and delivery of OBAC’s programs and events. Working closely with the Programs Manager and program coordinators, this person will assist with scheduling, logistics, and participant communication while gaining experience in nonprofit program management.

This role is ideal for a student or recent postsecondary grad who wants hands‑on experience in arts administration, event coordination, and the behind‑the‑scenes work that makes our programs possible.

Key Responsibilities

Program Support and Coordination

- Assist with scheduling program activities, workshops, and events

- Support communication with participants, facilitators, and mentors

- Help prepare program materials and feedback forms

- Assist with on‑site or online event coordination and participant check‑ins

Administrative Support

- Support data entry and organization of program records and reports

- Help track participant progress, feedback, and outcomes

- Maintain organized files in Google Drive

- Support procurement or booking of venues, vendors, or supplies as needed

Monitoring and Evaluation

- Assist with collecting survey data and compiling results

- Support preparation of summaries and reports for internal and funder use

- Help identify and document participant success stories and testimonials

Team Collaboration

- Participate in weekly program team meetings and planning sessions

- Contribute ideas for improving program delivery and participant experience

Skills & Competencies

- Strong organizational and communication skills

- Attention to detail and ability to multitask effectively

- Comfort with Google Workspace, Asana (or similar team/task management tools)

- Interest in arts programming, education, or event logistics

- Collaborative, reliable, and eager to learn

- Commitment to antiracism, equity, diversity, and inclusion

Learning Outcomes

- Gain practical experience in arts and nonprofit program coordination

- Develop project management and administrative skills

- Learn how programs are structured, tracked, and evaluated for impact

- Build experience in event support, participant engagement, and teamwork; contribute to amplifying and building support for Black creatives in Canada

Please note this is a part‑time, hybrid role, up to 20 hours per week.
