The Municipal Clerk’s Office serves the community to enhance our quality of life by safeguarding the integrity of legislative processes, corporate recordkeeping, and public access to information. Position Overview: The Deputy Municipal Clerk reports to the Manager of the Municipal Clerk’s Office. This is a support position that helps provide legislative services for council, council committees and quasi-judicial boards and assists with municipal elections and plebiscites. The Deputy Municipal Clerk also supports the access to information program and the records and information management program. Accountabilities include: - Preparation of agenda packages and meeting minutes - Coordination of delegations and public hearings - Coordination of council committee membership - Assisting with municipal elections and plebiscites - Responding to access to information requests - Assisting with the delivery of organization-wide orientation and training in access to information and records management. This is the ideal role for someone who has interest and, preferably, experience in municipal government. To be the best fit for this position, you need strong editing skills, reading ability, and computer skills. Experience with minute taking is an asset. You have a love for process and have good attention to detail. Experience with parliamentary procedure and interpretation of municipal legislation is also an asset. - Is competent with parliamentary procedure and formal minute taking - Is familiar with knowledge and application of current legislation such as the Municipal Government Act, the Access to Information Act, and the Local Authorities Election Act - Competently performs administrative tasks - Is familiar with corporate recordkeeping procedures - Proficiently and efficiently uses computer operating systems, software, and applications such as MS Office 365 (including Outlook, SharePoint, and Teams) and Foxit PDF - Is generally knowledgeable about all Town of Canmore services and can effectively respond to public inquiries and/or re-direct inquiries to the appropriate resource - Follows established standard operating procedures for safety, customer service, financial transactions, etc. - Maintains confidentiality of all client information - Anticipates sensitive issues and plans an appropriate strategy Education & Qualifications: - Post-secondary education in a related field such as technical writing, business administration, records management, or facilitation – asset - Asset but will be provided after hire as required: - Clerk of the Subdivision and Development Appeal Board certification - Training in Access to Information - Membership in the Alberta Municipal Clerks Association Experience: - 2 years of related experience in an administrative function – required - Advanced proficiency with MS Office, particularly Word, SharePoint, Teams, and PDF software – required - Strong oral and written communication in English – required - Organizational habits to understand, realistically plan for and meet deadlines, while adapting to changing demands and priorities – required - Experience in a municipal setting – asset - Experience preparing agenda packages and taking minutes – asset - Experience with records management and/or access to information - asset Salary & Benefits: - Pay Range- $43.48 to $45.89 per hour to start.
