Position Summary
Working at the institutional level and under the guidance of the University Registrar, the Director of Operations is a strategic leader, subject matter expert, advocate and service provider for undergraduate, graduate and professional student systems and reporting. The Director of Operations is responsible for providing strategic direction, advice and support to senior management, academic divisions and the University Registrar’s Office management on key processes and systems to support the student experience. Registrarial systems include admissions, client services, student financials (student loans, awards, student accounts), learning space management, student records, convocation, reporting and related processes. The incumbent provides strategic oversight and develops a collaborative, student-centric approaches to manage and evaluates these systems.
The Director of Operations works with stakeholders across the university to advocate for system enhancements and develop a culture of process alignment. The incumbent is the key central university resource and functional subject matter expert on the student information system including admissions, financial aid, records, registration, student accounts, scheduling and related functions. The incumbent develops strategies aimed at maximizing the use of technology and data for institutional registrarial processes.
The Director of Operations also oversees the team that provides direct technical and business process to units within the VPSEM portfolio (Student Recruitment, Admissions, Financial Aid, Awards, Student Accounts, Communications, Operations, Client Services, Convocation and Learning Space Management) to ensure the smooth functioning and ongoing enhancement of technical systems supporting the complete life-cycle of the student.
The Director of Operations provides expert advice to divisions and senior leaders on matters relating to record retention, system access permissions, and data privacy and security. This position has budgetary accountability for the systems and reporting team and all associated projects and systems, including procurement and related functions.
Essential Qualifications
Education
- University degree or an equivalent combination of education and experience.
Experience
- Minimum 10 years related experience in a post-secondary institution.
- Experience in leading and motivating specialized and experienced technical staff.
- Demonstrated success in project management within a complex environment.
- Previous experience in establishing technical work plans, managing projects deliverables, and developing and managing budgets on department and project levels.
- Knowledge and experience in negotiating equipment and services agreements.
- Knowledge of registrarial matters including records, registration, grades and associated areas.
- Demonstrated experience in planning, implementing, overseeing and assessing information systems standards, policies, and procedures.
Skills
- Strong communications skills in order to communicate, persuade, and present technical and non-technical concepts to persons with limited technical backgrounds at all levels of the organization.
- Strong ability and commitment to remain current with emerging and prevailing trends and issues both in the technology realm and in financial aid.
- Proficient with relational database systems and preferably with student information systems and University of Toronto systems.
- Experience developing software and codes within such systems.
- Solid understanding of website and systems architectures; thorough understanding of web-based client/server technologies.

- Strong analytical and organizational ability.
- Proven ability to exercise good judgment, initiative, and maintain confidentiality.
- Ability to work under pressure and with deadline constraints while balancing competing priorities.
- Strong interpersonal and team skills.
