Facility Coordinator
The Opportunity
The Alberta Energy Regulator's (AER's) mandate has expanded to include new areas of resource development, including minerals. This expansion is part of the Alberta government's economic recovery plan to diversify the economy and accelerate growth in new and emerging sectors. The Alberta Geological Survey (AGS) operates the Mineral Core Research Facility (MCRF) in Edmonton, which is a warehouse and critical repository for geological materials, housing approximately 74,000 meters of core, 18,000+ rock samples, 10,000+ thin sections, and several scientific instruments, among other material. These materials are extensively utilized by AGS and are also accessed by industry, academia, and other government institutions. The MCRF serves as the primary destination for new core submissions to the AER by the minerals industry and is the staging point for AGS field work and other activities.
As the Facility Coordinator, you will join the AGS' Emerging Resources team, which is a technically and culturally diverse group of geoscience professionals engaged in mineral and geothermal resource evaluation. You will be responsible for all administrative and operational functions of the MCRF, will make recommendations regarding operations and safety, and will work with AGS leadership to develop and implement processes and procedures. Day-to-day you will work independently under limited supervision and will have autonomy to choose the best method of providing services based on established procedures or training.
What your day-to-day will look like:
1. Manage all administrative functions of the MCRF, including but not limited to courier and mail, paying invoices, preparing Purchase Orders (POs), and purchasing equipment and materials. Ensure MCRF passes annual facility audits.
2. Communicate facility-specific needs for the assessment of new systems, software, protocols, equipment, and infrastructure and lead implementation initiatives. Optimize organizational processes to improve productivity and efficiency of finding and accessing materials, and quality. Provide recommendations to AGS leadership to help mitigate risks associated with MCRF operations and data collection.
3. Day-to-day influential supervision of any warehouse staff or other temporary workers or contractors.
4. Oversee compliance management of drill core and related materials submitted or sampled by industry or other external users, enabling the collection, inspection, validation, and reconciliation of core, drill cuttings, and material analyses related to mineral resources. Facilitate the process to maintain the accurate submission/collection of physical geological materials and digital data collected by industry stakeholders for mineral cores drilled in Alberta in line with AER regulatory requirements.
5. Manage and maintain a digital inventory of all geological materials, field, laboratory, and communications equipment.
6. Responsible for the safe day-to-day and long-term operation of the MCRF and make recommendations regarding safety improvements. Ensure all safety protocols are in place and adhered to by facility staff and users.
7. Maintain the required inspection program for the facility, safety equipment, and vehicles. Liaise with Workplace Services for facility maintenance/concerns, and with Fleet Services regarding all mechanized equipment (forklifts/UTVs/ATVs). Develop standard operating procedures for specific equipment, including maintenance. Maintain tools and equipment.
8. Maintain a clean and organized warehouse. Operate an Order Picker, Reach Type Lift Truck, and forklift (Class 5). Accurately and efficiently complete core changes at the MCRF, including moving core boxes weighing up to 50 lbs. Prepare geological materials for analyses.
What we're looking for in you:
1. 5 years of senior administrative/warehouse management experience and proficiency in procurement processes is considered an asset.
2. Industrial Truck Association - Class II (lift truck/order picker) and V (forklift) certificates are required. A combination of experience and the eligibility to be certified will be considered.
3. Familiarity with geological materials, the mineral resource industry, and the work of the AER is preferred.
4. Intermediate experience with MS Office software (e.g., Microsoft Word, Microsoft Excel).
5. Ability to effectively balance multiple demands independently; able to respond and adapt to changing priorities and timelines.
6. Excellent organization skills that enable the optimization of processes in a warehouse setting.
7. Excellent communication skills (written and verbal) that enable effective communication of complex information and recommendations to various levels of stakeholders.
Additional Information:
1. All applicants must be legally entitled to work in Canada at the time of application.
2. Pre-placement Medical required and the ability to lift over 50 lbs.
3. Possess a fully valid class 5 driver's license along with a positive driving record.
4. Additional training such as Standard First aid can be provided.
5. This role has a business requirement to work from the Mineral Core Research Facility in Edmonton.
6. Should an individual with the required qualifications not be available, applicants with closely related qualifications may be considered. As a result, the position may be redesigned and/or reclassified.
If you need accommodation during any stage of the recruitment process, please email PeopleServices@aer.ca. Information relating to the need for accommodation and accommodation measures will be addressed confidentially.
What we offer you:
1. Great benefits from your first day of work
2. Flexible Work Program - flexible hours
