Why is this role open:

As the firm continues to pursue new project opportunities, they are looking for a Proposal Specialist to support the Business Development team. This role is essential in crafting compelling proposals and responses to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and Expressions of Interest (EOIs). The Proposal Specialist will work closely with Senior Management and Project Leads, ensuring submissions align with the firm's strategic vision and are executed efficiently and effectively.

Responsibilities:

1. Develops high-quality, visually compelling proposals for RFPs, RFQs, and EOIs.
2. Manages proposal timelines and internal deadlines to ensure timely submissions.
3. Facilitates proposal kick-off and check-in meetings, ensuring alignment across teams.
4. Monitors procurement websites and databases to identify new business opportunities.
5. Collaborates with Business Development to research client needs and align submissions with strategic goals.
6. Works with Senior Management and Project Leads to gather relevant project details, client needs, and proposed fees.
7. Organizes and maintains standard bid content (CVs, project experience, templates, etc.) for streamlined proposal development.
8. Assists with client presentations and interview preparations.
9. Maintains proposal pipeline data within the firm's CRM system.
10. Coordinates client debriefs and feedback sessions to enhance future proposals.
11. Conducts research on potential clients and market trends to inform strategy.
12. Supports team members in meeting proposal requirements and documentation needs.
13. Identifies best practices and process improvements to enhance proposal efficiency.
14. Participates in Business Development and Marketing meetings to stay informed about upcoming opportunities.

Must haves:

1. 3–5 years of experience in proposals, technical writing, or business development, ideally in architecture, engineering, construction (AEC), or the creative industry.
2. Degree or diploma in architecture, design, marketing, journalism, or related field.
3. Strong organizational skills and attention to detail with the ability to synthesize complex information into engaging proposals.
4. Excellent writing, storytelling, editing, and proofreading skills.
5. Proficiency in Adobe Creative Suite and MS Office.
6. Ability to manage multiple priorities and deadlines while maintaining high-quality standards.
7. Works well in a collaborative team environment with a mindset of continuous improvement.

Nice-to-haves:

1. Experience with Deltek Vision (CRM) and OpenAsset (DAM).
2. Familiarity with best practices in proposal development within the AEC industry.
3. Interest in learning and professional growth within business development.
